Trust Operations Officer directs the work of Trust Operations team in large and complex trust operations. Ensures that transactions are balanced and documented according to policies and procedures. Being a Trust Operations Officer oversees the input and maintenance of data in accounting systems and report generation. Coordinates the processing of dividends and disbursements. Additionally, Trust Operations Officer may require a bachelor's degree. Typically reports to a manager. The Trust Operations Officer manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions. To be a Trust Operations Officer typically requires 5 years experience in the related area as an individual contributor. 1 - 3 years supervisory experience may be required. D.A. Davidson, an employee-owned Financial Services firm, is seeking an exceptionally sharp, motivated and detail-oriented individual to join the D.A. Davidson Trust team in the important role of Personal Trust Administrator. You’ll work closely with Trust Officers to deliver an exceptional client experience by diligently administering and managing trust accounts.
Experience and Skills:Qualifications:
- 2 years of prior trust administration or related wealth management experience preferred.
- College degree or equivalent experience (preferably within trust administration) preferred.
- Previous experience in the financial service industry or working knowledge of trust administration and fiduciary services is required.
- Paralegal certification or past employment in the capacity of a paralegal a plus.
- Basic understanding of fiduciary tax issues surrounding trust accounts.
- Proficient computer skills, especially Microsoft Office applications and other proprietary systems.
- Proven ability to follow policies and procedures and exercise good judgment and discretion when working with confidential client information.
- Detail oriented with strong organizational and problem-solving skills.
- Excellent communication skills with the ability to work with various professionals such as Financial Advisors, attorneys, and CPA’s.
Duties:
- Maintain a working knowledge of Davidson Trust Company policies and procedures.
- Open new accounts through established account opening process. Verify that all assets have transferred and are set up properly within 30 days of asset transfer.
- Coordinate with the Trust Officer the necessary actions to be taken to close an account in an accurate and timely manner.
- Process correspondence, reports, proposals as requested by the Trust Officer.
- Assist in the administration of accounts at the direction of the Trust Officer.
- Assist in preparing administrative reviews and requests for discretionary payments as requested by the Trust Officer.
- Complete basic information on annual reviews and coordinate with the Trust Officer.
- Process client remittances and bill payments and ensuring they are per the terms of the trust document and include proper authorization.
- Maintain a thorough knowledge and understanding of trust accounting principles.
- Research and respond to client requests as necessary.
- Review and maintain daily reports and other periodic forms. Monitor and assist in covering overdrafts. Resolve and follow through to completion.
- Perform various administrative functions including file creation and maintenance, managing incoming and outgoing mail/shipments, and maintaining closed files, custody records for additions and withdrawals to the legal vault and account file destruction schedule and records.
- Perform other duties and responsibilities as assigned.
