Isolatek International, the industry leader in the marketing and manufacturing of passive fire protection materials for the construction industry has an immediate opening for a full-time Operations Administrator in our Operations Department at its corporate headquarters in Stanhope, NJ.

The Operations Administrator’s primary role, under general supervision and consistent with the company’s policies, applicable laws, and regulations, buys the raw materials, packaging, other items as needed, and services for the company as a whole.  In addition, oversees the upkeep, improvements, maintenance, cleaning, recycling, and waste removal for the NJ facilities.  Maintains the manufacturing documentation and records.

RESPONSIBILITIES: 

Safety

• Full compliance with plant and Corporate EHS programs
• Drive and develop safety culture consistent with corporate directives and targets.
• Track and report the safety performance KPIs across all shifts.
• Report and encourage employee participation.

 Operations/Procurement Management

• Ensures the NJ manufacturing location has the materials to manufacture products, supply all finished goods, and meet customer demands, at the lowest optimum cost and without compromising timeliness, quality, or safety.
• Purchase order composition; placement with vendors; including the correct terms and pricing; PO oversight and administration within the company’s business information system. Model, forecast and plan to meet the company’s demand for raw material, packaging, finished goods, and other items.  Assist in the compilation of the annual budget.        Negotiate pricing, as required, and as possible.  Assist in developing new sourcing strategies, vendors, and alternative materials.
• Manages, cross-functionally, inventories of raw materials, finished goods, and packaging materials.  
• Supplier Relationship: Communicates with and knows each of the company’s vendors.  Seeks to improve business relationships, where possible.  Assists in choosing, measuring, balancing, and reporting the performance of all vendors.
• Seeks ways to improve Isolatek’s business processes. Supports or leads such initiatives.
• Be familiar with the company’s ISO, UL, FM, and other trademark requirements.
• Be familiar with the manufacturing and facilities processes and workflows.
• Maintaining purchasing and operations records.
• Assists with the inventory reconciliation process. 
• Performs other duties as assigned.

FACILITIES

• Supports the upkeep, maintenance, renovations, of corporate office space, R&D, warehouse, and manufacturing spaces.
• Responsible for the vendor management and internal personnel, in relations to facilities.
• Performs other duties as assigned.

Production/People Management

• Maintains payroll and attendance documents and reports in conjunction with shift supervisor. 
• Completes shift paperwork and publishes Production Reports. 
• Assist Plant Manager and Maintenance/Engineering group with facility project coordination and documentation.
• Provides administrative support with contract work (projects) performed.
• Supports Operations in absence of Plant Manager or Shift Supervisor. 
• Tracks, help analyze, and reduces plant downtime and other production metrics and KPIs.
• Other projects as assigned by the Plant Manager / Operations Manager

  Experience and Education:  

• A minimum of 3-5 years of manufacturing operations management support experience
• Strong communication, analytical, and project management skills
• Knowledge of ERP (Enterprise Resource Planning) systems
• Excellent Microsoft Office abilities and proficient with Excel
• Bachelor’s degree preferred

• Strong business analytical skills / acumen. Excel, MS Word & PowerPoint high proficiency level required.
