Starting Wage: $23.00 - $25.00 per hour based on a 35-hour workweek.
Standard Work Schedule: Monday – Thursday, 8:00 am – 4:00 pm, and Friday, 8:00 am – 1:00 pm.
PRIMARY FUNCTIONS:
The Volunteer Coordinator acts as the primary point of contact for the Food Bank of the Southern Tier's (FBST) Production Volunteer Program, fostering connections with the annual fundraising initiatives. Within the Production Volunteer Program, the coordinator facilitates volunteer engagement in daily operational tasks such as receiving, sorting, repacking, and order-building. This role involves orchestrating meaningful activities and experiences that foster strong relationships with volunteers, aligning their skills and availability with suitable opportunities. Establishing and nurturing a positive rapport with individual volunteers and volunteer groups is a key aspect of the position, aimed at enhancing their dedication to the FBST mission. Additionally, the Volunteer Coordinator oversees volunteer recruitment, retention, and recognition efforts, conducts program outreach, and evaluates program effectiveness to ensure a high-quality volunteer experience while meeting the Food Bank's production requirements.
SPECIFIC DUTIES:
Volunteer Engagement & Management
· Guarantee outstanding volunteer experiences by handling incoming calls, coordinating schedules, and confirming commitments from both individual and group volunteers.
· Collaborate with community-based volunteer organizations, including churches, college groups, local businesses, and individuals, to promote upcoming events and cultivate interest in volunteering for the Food Bank's initiatives.
· Ensure positive volunteer experiences by matching volunteers with appropriate projects and ensuring their safety and engagement.
· Work cooperatively with the Production Team and/or other departments to identify volunteer needs and schedule volunteers, ensuring that volunteers are safe, feel appreciated, and are engaged in appropriate projects best fitting their skills and abilities.
· Work hands-on with volunteers on various projects such as food sorting, repacking, order-building, cleaning work areas, and building food boxes.
· Oversee the orientation and volunteer experience process.
· Coordinate orientation, tours, and stewardship activities.
· Gather feedback to improve volunteer experiences.
· Develop and coordinate volunteer recognition events and celebrations.
· Recognize volunteers and their commitment to FBST's mission through thank you letters, certificates, picnics, and milestone celebrations.
· In collaboration with the Production team, evaluate each volunteer's job performance and appropriately address any volunteer issues and/or concerns.
· In partnership with the Development & Community Engagement (DCE) team, cultivate relationships with corporate and community groups to encourage financial support.
· In coordination with the Corporate Partnerships Manager, integrates corporate volunteers into the organization's fundraising strategy.
Communication & Collaboration
· Communicate regularly with the Production team about volunteer shifts, corporate and business volunteer groups, and matters impacting the Volunteer Production Program.
· Assist in developing tools and programs to strengthen volunteers' understanding of the Food Bank and offer hunger education opportunities. Periodically evaluate the program utilizing volunteer surveys, gathering feedback, and assessing performances; provide program recommendations and adjustments, as needed, to strengthen the program and volunteer's overall experience.
Reporting & Recordkeeping
· Enter and maintain accurate volunteer data in Raiser's Edge, ensuring it reflects up-to-date contact details, communications, and significant engagements with individual volunteers, corporate entities, and other volunteer groups.
· In coordination with the Communications team, create promotional materials for the Food Bank's website to recruit volunteers and increase awareness.
· Coordinate and implement volunteer policies and procedures, including agreements, waivers, and safety protocols.
· Utilize Volunteer Hub and Raiser's Edge for efficient volunteer management and reporting.
· Showcase expertise in utilizing the Volunteer Hub online registration software, ensuring a seamless and user-friendly registration process for volunteers. Continuously optimize the registration process to be efficient and adaptable, allowing for adjustments and improvements as necessary to enhance the volunteer experience.
· Utilize Raiser's Edge proficiently to monitor and analyze volunteer data, ensuring efficient volunteer relations and program management, including tracking volunteer hours, service dates, preferences, accomplishments, and other relevant data to enhance the effectiveness of the volunteer program.
· Regularly assess the program's effectiveness by conducting volunteer surveys, collecting feedback, and evaluating performance. Utilize the data to offer recommendations and implement necessary adjustments to enhance the program and improve the volunteer experience.
