Volunteer Manager Job Description

Volunteer Manager is essential to the coordination of the volunteers who serve Family Promise of Skagit Valley. Volunteer Manager is in charge of ensuring shelter coordinators, family mentors, van drivers, interns and all other volunteers are recruited, trained and scheduled. You will be tasked with ensuring specific staff is then prepared to manage volunteers for their department. Supporting all staff along the way to better manage volunteers.

Volunteer Manager will be in charge of creating new projects for volunteers, will work with director and volunteer support staff to create annual healing calendar, volunteer appreciation and ensure regular communications are sent this includes, social media, newsletters, emails, invites, agendas and follow up. This role will also support the organizational efforts of Community engagement and volunteer growth.

Essential Duties and Responsibilities of a Volunteer Manager

• Onboarding new volunteers including Interns, Clerical, van drivers, shelter support, and family mentors.
• Managing Volunteer Coordinators which includes
• Trainings
• Scheduling
• Communication regularly
• Newsletters
• Conducts weekly phone calls 2 weeks prior to hosting and supporting churches for upcoming weeks using questionnaires to assess availability, training needs, updated health metrics to be individualized to each church. Assessed quarterly by the Director and Board.
• Ensures any and all volunteer spaces are kept up to code, are cleaned regularly.
• Reports client needs, concerns, guideline violations to appropriate service staff using proper documentation to ensure that it is dealt with in the most constructive way based on our trauma-informed care, rules, guidelines, and ability to use teachable moments.
• Advises staff, volunteers, and participants on answers to questions and provides technical assistance when needed. (EX. sign up genius, reporting missing dinners, database entry, etc.)
• Will participate in a committee, working group, or team to ensure goals identified by the director are being completed in a professional, timely manner within budgetary restraints.
• Provides linkage to available services and advocates for additional community resources thru Family Promise’s National Website

Conducts volunteer surveys to better support volunteer engagement and feedback.

• Regular Staff and Volunteer training
• Complete monthly staff reports
• Manage Volunteer Data thru Boomerang
• New Church Recruitment, training, and engagement

Preferred Skills and Education

• 3-5 years of experience in managing volunteers/employees
• 3-5 years of managment experience
• Needs to have a capacity to train and facilitate learning.
• Can speak to diverse groups through presentation, with the ability to recruit and cast vision and mission.
• Has a background and training in communication. Is capable of clearly speaking, writing and conversing through multiple technology platforms.
• Mediation, trauma and DEF training and background
• Self-starter, able to handle project management and multiple tasks with care and patience.
• Ability to work in a professional manner, keeping mission, vision and goals at the forefront of your day-to-day work life.

Hourly Position: This is a growing position that will start off at 30-35 hours a week at $23-25 dependent on training and experience.
