Volunteer Coordinator supervises and leads the daily undertakings of a volunteer program to attract, inspire, train, and deploy volunteers. Leads the recruiting, interviewing, and hiring of volunteer workers. Being a Volunteer Coordinator is responsible for training and educating volunteers. Motivates and inspires volunteers to encourage teamwork. Additionally, Volunteer Coordinator evaluates and reviews volunteer schedules and makes adjustments as necessary. Ensures that the activities of the volunteer workers meet the needs of the organization. May require a bachelor's degree. Typically reports to a manager. The Volunteer Coordinator supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/production environments. The Volunteer Coordinators are responsible for the on-going recruitment, recognition, retention, coordination and supervision of adult, high school, college and Workplace Learning Connection student volunteers in all volunteer shifts and assignments. Volunteer Coordinators work closely with hospital departments to maintain and improve current volunteer programs and plan and facilitate any future programs/tours for volunteers (and visitors) which may be developed. This includes, but is not limited to screening, interviewing, orienting, training and placement to meet the needs of the hospital and community we serve. The coordinators work together in a team environment and are responsible for carrying out the philosophy and objectives established by the hospital and the departments we serve.

Key Accountability 1 – Volunteer Program Coordination
1. Responsible for establishing and maintaining positive relationships with all volunteers and associates of the Volunteer Services department and St. Luke’s Hospital.
2. Responsible for utilizing effective strategies in coordinating volunteers, including but not limited to:
· Screening, interviewing, orienting, training, placement, coaching, and on-going supervision of volunteers.
· Facilitates the appropriate matches of volunteers to selective placements in the hospital, off-site locations and community we serve.
· Assists with completing Service Line schedules weekly and finds subs as necessary.
· Works with department to establish a written assignment description and training materials.
· Coordinates education and volunteer meetings for volunteers as needed in their assignment areas.
· Maintains on-going communication (written/verbal) with volunteers to ensure satisfaction of volunteer’s placement.
3. Assists in the development and implementation of new volunteer opportunities and programs.
4. Responsible for other assignments as may be deemed necessary by the Program Manager of the Volunteer Services department.
Key Accountability 2 - Collaboration and Outreach
1. Must work closely with second Volunteer Coordinator and function as a team.
2. Works collaboratively with supervisors to ensure placement of volunteers meets the department’s expectations/needs.
3. Work closely with Human Resources staff to establish parallel processes for the VS program.
4. Participates in hospital committees and break out groups as assigned and interested in.
5. Introduce Volunteer Services to New Hires at their associate orientation luncheon.
6. Provides information to individuals and community groups about Volunteer Services and volunteer opportunities when requested.
7. Attends community volunteer fairs as companies, schools, etc. as available to recruit new volunteers.
8. Works collaboratively with other professionals, students and associates to coordinate placements for internships and career exploration opportunities: including The WorkPlace Learning Connection, Coe College Work Study Program, etc.
9. Is a member of local professional networking group LIV (Leaders in Volunteerism)
10. Attends educational offerings by the hospital and education conferences related to personal and professional growth and development.
Key Accountability 3 – Marketing and Recruitment
1. Capture volunteer stories to promote role the volunteer plays in hospital success.
2. Assists in the planning for volunteer retention.
3. Assists in the recruitment of new volunteers to meet the needs of the hospital.
4. Assists in the planning for volunteer recognition.
· Identify recognition opportunities throughout the year and promote volunteer recognition of hospital volunteers with associates of the hospital and community as appropriate.
· Provides volunteers with letters of recognition as requested.
Key Accountability 4 – Resource Management and Improvement
1. Daily use of Volgistics, i.e. notes, reports, hours, volunteer demographics, etc.
2. Coordinates maintenance of current volunteer records and files for the department to ensure volunteer records of service are maintained and files are compliant including paper, electronic and database files.
3. Assists in monitoring and updating department procedure manuals, volunteer assignment descriptions and training materials.
4. Revise the volunteer orientation materials as necessary.
5. Developing and revising volunteer training criteria and checklists for assignment descriptions.
6. Develops evaluation tools to measure the effectiveness and impact of volunteers to their assignment areas.
7. Assist in maintaining Volunteer Services Office on a daily basis. May include; answering phones, selling tickets, assisting with mail/flower deliveries, etc.
