Volunteer Coordinator supervises and leads the daily undertakings of a volunteer program to attract, inspire, train, and deploy volunteers. Leads the recruiting, interviewing, and hiring of volunteer workers. Being a Volunteer Coordinator is responsible for training and educating volunteers. Motivates and inspires volunteers to encourage teamwork. Additionally, Volunteer Coordinator evaluates and reviews volunteer schedules and makes adjustments as necessary. Ensures that the activities of the volunteer workers meet the needs of the organization. May require a bachelor's degree. Typically reports to a manager. The Volunteer Coordinator supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions. To be a Volunteer Coordinator typically requires 3-5 years experience in the related area as an individual contributor. Thorough knowledge of functional area and department processes.     Type: Part-time, Non-exempt, 20 hrs a week in office

    Reports To: Executive Director

    Wage Range: $26 - $28/hr DOE

    Up to five paid holidays when they fall on a regularly scheduled weekday (New Years Day, Fourth of July, Thanksgiving and the Friday after, and Christmas Day).

    One hour of paid sick leave / PTO per 40 hrs. worked in accordance with Washington State’s Paid Sick Leave program. May accrue up to 26 hrs a year, does not roll over.

    Position Summary:

    The Snohomish Community Food Bank (SCFB) is seeking a dynamic, experienced candidate who is passionate about our mission and able to support our organization with excellence. The Volunteer and Operations Coordinator will support the Director in coordinating the logistical & operational needs of the food bank volunteers and facilities. This role will be responsible for supporting operations, including fundraising, program execution, and volunteer supervision. This role is vital to the success of the Food Bank and is the go-to person for over 130 volunteers. This role may expand as the organization grows.

    Organization Summary:

    Founded in 1985, the Snohomish Community Food Bank is a nonprofit organization that's mission is to provide nourishing foods to people most in need. SCFB is served and supported by individuals, churches, nonprofits, service clubs, grocery stores, corporations, and government and city personnel. SCFB carries out its mission by focusing on building community, offering dignified services, and providing quality nourishing foods to the community of Snohomish.

    Key Responsibilities:

    • Schedule and train Food Bank volunteers
    • Review volunteer applications & run background checks
    • Utilize volunteer management software and/or CRM database (training available)
    • Manage incoming emails and communication with volunteers and community partners
    • Support development of Food Bank communication materials, including donation mailers, newsletters, flyers and waiting room materials
    • Administrative responsibilities to include answering phones, greet walk-ins, and file management
    • Assist in planning & executing fundraising and community events (evenings and/or weekends may be required)
    • Plan and organize food drives and schedule pickups
    • Track & receive food orders and food donations; assist with weekly food orders
    • Assist with intake, organization, and inventory management (be able to lift up to 25 lbs)
    • Organize and maintain facility, including offices, warehouse, kitchen, and storage areas
    • Assist with high school volunteer program (may require an occasional Saturday)
    • Fill in for Executive Director in their absence
    • Special projects and tasks as assigned by the Executive Director

    Qualifications:

    • Experience in recruiting, on-boarding, scheduling, and training
    • Ability to manage 130 volunteers and delegate tasks
    • Minimum of 2-3 years of experience in nonprofit, hospitality, customer service or a related field
    • Program/project/event coordination experience
    • Demonstrated experience in data entry, CRM experience is beneficial (willing to train)
    • Ability to stand/walk for up to 4 hours and lift/push items up to 30 lbs
    • Proficient in Microsoft Office products, specifically Word, Excel and Outlook
    • Strong communication & problem-solving skills
    • Organized and detail oriented
    • Comfortable opening and closing facility when Executive Director is not present
    • Ability to work collaboratively with volunteers, clients, donors, community partners and other stakeholders
    • Strong commitment to our mission and passionate about working with volunteers and serving our community

    Pass a WA State background check prior to starting employment

    Proposed Schedule:

    (some flexibility)

    Mondays: 8:30 am -12:30 pm

    Tuesday: 9:30 am – 1:30 pm

    Wednesday: 9 am – 1 pm

    Thursday: flexible / may vary

    Friday or Saturday: 9 am - 1 pm

    One hour can be remote answering emails, calls, and texts on evenings and weekends.
