    Job Highlights

    We are currently looking to grow our risk management team by adding a highly organized coordinator to track the statuses of 100 critical permits and other regulatory documents using our newly implemented digital document repository and compliance management system. The waste management industry requires a myriad of permits to operate safely and in-compliance with state/federal regulators, and this compliance coordinator will be integral in tracking the effective dates, renewal statuses, and daily upkeep of IWS’ cross-functional permits and regulatory compliance documents.

    The Risk Management Associate will support IWS’ VP of Risk Management as the main point-of-contact regarding all regulatory compliance monitoring related inquiries. The first few weeks in this role will be spent learning about IWS’ facilities, operations, and the permits associated with those facilities and operations. The compliance coordinator will then be expected to evaluate the accuracy of the current state for our regulatory compliance tracking system and rectify any outdated or missing information in the system.

    Once the initial gap analysis is performed, the Risk Management Associate  will be responsible for following-up with respective stakeholders to track the statuses of permit renewals and other regulatory compliance actions maintained in the system, keeping the data and document repository up to date, disseminating permits and supporting documents to requesting parties/officials, and coordinating the recipients of the system-generated push notifications.

    Additional Responsibilities

    • Collect, read, and input new/renewed permits and other regulatory documents into the regulatory compliance system
    • Share quarterly reports outlining which permits are scheduled to expire within the upcoming quarter
    • Learn the complete functionality of IWS’ regulatory compliance system and evaluate areas for improvement, documenting suggestions as they are understood
    • Collaborate with the tracking systems’ development team to ensure complete system functionality and encourage continuous improvement
    • Work cross-functionally to collect feedback on system-related areas of improvement amongst stakeholders/permit owners
    • Maintain the database of permits’ primary, secondary, and external contacts to track who is responsible for permit renewals or other regulatory compliance actions etc.
    • Train necessary employees on how to access permits and other regulatory compliance documents through IWS’ regulatory compliance system
    • Communicate with internal and external stakeholders to receive/disseminate necessary permits and other regulatory compliance documents maintained in the system
    • Handle confidential information with discretion and professionalism

     

    Qualifications

    Requirements

                  Understanding of COI process and requirements

    • Prior experience in an administrative role is preferred
    • Highly organized with excellent attention to detail.
    • Excellent analytical skills, ability to quickly aggregate and analyze data/information.
    • Highly proficient in MS Office (Word, Excel, Outlook, and PowerPoint).
    • Excellent verbal and written communication skills and the ability to communicate effectively on an executive level.
    • Strong sense of accountability, integrity, and ability to handle highly visible responsibilities.
    • High level of professionalism and ability to handle highly sensitive and confidential information with utmost discretion.
    • Accounting, Business or Public Administration, Insurance, or related field preferred
    • Must understand insurance requirements for vendor contracts and construction contracts.
    • Must have knowledge of Risk Management Concepts and Loss Control Practices.
    • Experience researching principles and techniques of Property and Comprehensive General Liability coverage.
    • Skills include policy development, critical thinking, needs assessment, and record keeping.
    • Ability to communicate effectively both orally and in writing.
