Job Summary
AFIN Family Wealth Management is seeking a highly motivated financial assistant to join our Orland Park office. The financial assistant will be in a sales support position and is expected to enhance the client experience by providing exceptional client service, supporting office functions as needed, assisting in safeguarding client assets, and serving as administrative and operational support to financial advisors. The financial assistant is responsible for understanding firm policies and procedures that will allow them to interact with financial advisor as well as new and existing clients. The financial assistant will perform a wide variety of functions independently, exercising confidential discretion and sound judgment in the performance of these duties. The assistant helps to screen phone calls and take detailed messages, maintain office files, keep a calendar to include scheduling meetings, prepare mailings and routine correspondence as directed, attend meetings, and complete reports as requested.
Qualifications
• Preferred two years of sales support experience in the financial services industry or similar administrative support experience.
• Bachelor's degree
• Required to complete Series 7 and 66 (or 63 and 65) and Life and Health Insurance Licenses within first 3 months of employment

Job Duties and Responsibilities
• Provide daily administrative support for one or more assigned financial advisor(s). Process all incoming business with follow-up to financial advisor and broker dealer or client as needed.
• Sorting, reading and annotating incoming mail and documents, ensuring all documents are complete prior to obtaining executive’s signature; composing responses or providing pertinent information for executive response, when necessary.
• Manage meeting best practices, ensuring all meetings have a set agenda, materials are printed for attendees, and dial-in details are set up and confirmed.
• Set client financial review meetings based on client service level agreement & prepare follow up meetings based on needs
• Provide direct support to financial advisor by responding to client inquiries, processing new accounts, obtaining necessary account documents, resolving inquires.
• Conduct proactive outreach to clients and registered representatives on time sensitive activities (e.g., RMDs, Client’s Quarterly/Annual Reviews)
• Research client and security information through the back-office system and communicate with the back- office personnel of the broker dealers, registered investment advisors and custodial firms to ensure all trades are processed correctly.
• Maintain a FINRA compliant filing system with all records and assist in compliance review process.
• Serve as liaison between client and sales and/or trading personnel.

• Answer and screen calls/visitors in a pleasant manner.
