Wealth Management Specialist develops individualized wealth management financial plans and recommendations to help clients attain financial goals by selecting investment solutions to minimize risk and grow wealth. Uses broad knowledge of investment products to educate clients on available investment options and create planning scenarios for retirement, education savings, and other financial objectives. Being a Wealth Management Specialist keeps abreast of economic conditions and new financial products to inform and advise clients on potential enhancements to existing financial plans and create up-sell opportunities. Monitors client portfolios to ensure appropriate risk profile. Additionally, Wealth Management Specialist follows all regulatory and organizational policies and procedures. May be involved with selling or coordinating the purchase of additional financial products or services to clients. Requires a bachelor's degree in finance, accounting, business or equivalent. May have the Certified Financial Planner (CFP) designation. Typically reports to a manager. The Wealth Management Specialist work is generally independent and collaborative in nature. Main duties will include all administrative/reception and operational support for the client relationship management team. This position requires on-site presence in the office.
Normal business hours are Monday - Thursday 8:30 a.m. to 4:30 p.m. and Fridays 8:30 a.m. to 12:30 p.m.
Summary Review of Core Responsibilities:
1. General daily duties-
a. Distribution & logging in of mail including client checks, forms and other received and process according to current procedure to include scanning, filing, task update notification to our team.
b. Daily - Previous day transaction review\confirmation and summary email to YWM Team.
c. Responsible for review of Custodian(s) Alert Notification and status of pending service requests while updating internal CRM system task status and team notification.
d. Population of new account/groups data and data maintenance of existing accounts in Tamarac portfolio accounting system.
e. Follow through cost basis entry at custodian and in Tamarac Reporting.
f. Review the Tamarac reconciliation reports (missing cost basis, missing or closed accounts) posted to FTP site by Tamarac team and take any action as necessary.
g. Download any documents uploaded to Electronic FTP Shared Folders per email notification and save per current processes and notify appropriate team members.
h. Shred any documents before leaving the office for the day.
2. Reception |Answer phones & Central Scheduling
a. Route calls | take messages and distribute to proper team members.
b. Kick-off Central Scheduling for client-prospect scheduled appointment type automated workflow email and text confirmations.
3. Operational Support for Maintenance & Forms:
a. To include preparation of Client Agreements, Investment Policies, and Rollover Suitability forms. Preparation of as assigned client new account and maintenance forms/ digital envelopes with various custodians, as assigned by the team to include the creation of Shared Folders for the clients/contacts to upload supporting materials or to upload forms for signature.
b. Review of investment accounts in preparation for client appointments (i.e. missing beneficiaries, trusted contacts, etc.) and the preparation of those maintenance forms.
4. Custodian Liaison – preparation of forms, processing, and follow-up on submission of service requests, alerts and notifications in a timely manner or fact checking as required so that the team can communicate status with clients.
5. Research various client account requests as assigned.
6. Processing of client Money Movement, rollover requests between client accounts as assigned per current procedure.
7. Acquired Specialty: assistance as assigned.
Other Duties and Responsibilities
1. Scanning and e-filing of documents according to procedures for all above core responsibilities and documentation in current contact management system history any action taken involving a client, influence center or vendor and any necessary follow-up.
2. Other administrative support and projects\duties as assigned.
Qualifications:
1. At least 3-5 years of Financial or Business Experience Preferred
2. Candidate MUST demonstrate consistency, accuracy and be detail oriented. Having strong organizational, proof-reading, and strong technical skills are a must for this position as well as being a self-starter and recognizing opportunities to complete tasks to help the team operate efficiently.
3. Experience in an investment firm desired and familiarity and experience in working with custodian platforms such as TD Ameritrade, Charles Schwab, Fidelity Investments, or other platforms.
4. Strong Technical skills with the ability to create spreadsheets and MS Word Templates that include tables and other form fill capabilities; thorough and organized.
5. Team player, collaborative, able to work with team.
6. Desire/ability to work successfully in a small company environment.
