We need an experienced Office Coordinator to support the Altus Air Force Base Military & Family Readiness (M&FRC) Department of Defense (DOD).

RESPONSIBILITIES-
Serve as initial point of contact (i.e., answering phones, questions, messages)

Help customers with faxing, approved material, email, and other inquiries in the M&FRC

Meet and greet customers upon entry and ensure all are logged into AFFIRST
- Administer Statement of Understanding (SOU) and Personal Readiness Inventory (PRI) to assess customer needs
-
Refer customers to appropriate M&FRC staff members for 1-on-1 consultations and appointments

Print, copy, staple, fold, and mail envelopes

Assist M&FRC staff in providing a full range of services to authorized patrons (i.e., employment, relocation, finance)

Coordinate with on and off-base helping agencies and resources for customer referral

Manage resources within the front office, lobby, and common areas
-
Update front desk materials and ensure they are available for customer self-help
- Align customer self-help materials with M&FRC programs, services, and events
-
Ensure all printers/copiers are supplied with paper and toner, notify M&FRC Chief or NCOIC for re-supply

Use Microsoft Office, Canva, and or other commercial sites to create marketing materials for M&FRC programs

Compose monthly workshop and classroom usage calendars, coordinating with all M&FRC staff

Receive desk-side training in AFFIRST Data Management within one week of receiving network access

Use AFFIRST to gather customer profiles, track service delivery transactions, and compile data reports

Report findings from AFFIRST to upper management on the effectiveness of services to individuals
- Assist the Altus AFB Transition Assistance Program (i.e., data management, gathering/producing materials for workshops)
- Maintain a clean workspace in marketing tables, common areas, and classrooms within the M&FRC buildings

Attend and record weekly M&FRC staff meetings, completing meeting notes within 2 working days
KNOWLEDGE & SKILLS-
Proficient in office administration duties (i.e., mailing, filing, printing, faxing)
- Exceptional customer service skills (telephone and in-person)
- Detailed-oriented and highly organized
- Excellent written and oral communication skills

Knowledge of military protocol, support group organizations, and family systems is highly preferred
BACKGROUND-
Progressive and relevant experience in social work or social services is highly desirable

1 year of experience working in an M&FRC or a similar helping service agency environment
EDUCATION-
Bachelor’s Degree preferred

Other Considerations. Applicants will be subject to a background investigation. Individual’s primary workstation is located in an office area. The noise level in this environment is low to moderate. Regularly required to sit for extended periods up to 100% of the time; frequently required to move about to access file cabinets and use office equipment such as PC, copier, fax, telephone, cell phone, etc. Occasionally required to reach overhead, bend, and lift objects of up to 10 lbs. Specific vision abilities required by this job include the use of computer monitor screens up to 100% of the time.
