Overview:
We are seeking a highly organized and detail-oriented Office Manager to join our team. As the Office Manager, you will be responsible for overseeing the day-to-day operations of our office and ensuring its smooth functioning. This is a key role that requires strong administrative skills, excellent communication, and the ability to multitask effectively.
Responsibilities:
- Manage the office calendar, including scheduling appointments, meetings, and events
- Coordinate with vendors and suppliers to ensure timely delivery of office supplies and equipment
- Provide administrative support to staff members, including drafting correspondence, preparing reports, and maintaining files
- Supervise administrative staff and provide guidance and support as needed
- Assist with event planning and coordination for company meetings or special events
- Maintaining confidential records
- Maintain an organized and efficient office environment by implementing effective filing systems and procedures
- Answer phone calls, greet visitors, and provide excellent customer service
-Assist with maintaining and organizing a diversified direct services department.
- Comply with quality assurance guidelines.
- Adhere to staff/Client ratios during service hours.
- Maintain office confidential files, staff communication and Client files as well as ensuring the required policy manuals and emergency plans are maintained and readily available for audits.
-Assist with daily reports, semi-annual reports, annual reports and clients' planning team
meetings.
- Assist staff with transportation, scheduling and coordination of Client services.
-Assist the program supervisors, staff/trainers and Clients during service hours of operation.
Skills:
- Strong organizational skills with the ability to prioritize tasks and meet deadlines
- Proficient in calendar management software and other office productivity tools
- Excellent administrative skills, including record keeping, data entry, and report generation
- Ability to supervise and motivate a team of administrative staff
- Event planning experience is a plus
- Knowledge of medical office management procedures is preferred but not required
- Strong communication skills, both written and verbal
- Professional phone etiquette and customer service skills
- Proven experience in office management or a related role
-Proficiency in Zoom and Microsoft Suite
