Accounting Supervisor supervises accounting staff in daily operations of one or more accounting functions, including accounts payable, accounts receivable, ledger maintenance, revenue, and asset accounting. Oversees calculating, posting, and verification of financial data for use in maintaining accounting and statistical records. Being an Accounting Supervisor ensures all analysis and reporting are accurate and prepared in compliance with accounting policies and procedures. Establishes and implements productivity and quality standards. Additionally, Accounting Supervisor typically requires a bachelor's degree in accounting or equivalent. Typically reports to a manager. The Accounting Supervisor supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/ production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions. To be an Accounting Supervisor typically requires 3-5 years experience in the related area as an individual contributor. Thorough knowledge of functional area and department processes.     The operational “day-to-day” concept of this role is to actively participate in and oversee the workflow and deadlines of the bookkeeping clients, and bookkeeping clients with payroll service to insure accuracy and timely delivery of financials; as well as, timely income tax return preparation and submission for business and assigned 1040 clients. To do this successfully, the Accounting Manager will delegate, direct and oversee the work of Accounting Staff on a daily basis.

    As this accounting work product is critical to offering advisory services as well as monthly, quarterly, year-end tax reporting, and income tax return preparation, the Accounting Manager direct, train and support accounting staff to facilitate month-end close on our accounting clients as well as year-end-close in support of accurate income tax submission.

    ACCOUNTING

    · Client Services- Field questions and concerns bookkeeping and taxes

    · Meet with prospect clients and market our services.

    · Assist with answering phones when personnel are not available or able.

    · Oversee and support payroll work and on projects when needed. (W/C audit, required ledger etc.)

    · Assist with and support recruitment efforts including evaluation of candidates as well as regular performance review of internal staff.

    · Communicate regularly with other management including weekly meetings with General Manager on Fridays at 4PM or as otherwise agreed.

    · Support and train accounting staff on how to prepare asset, liability, and capital account entries by compiling and analyzing account information.

    · Direct staff on proper documentation of financial transactions by entering account information, and do so in the event of a staff shortage.

    · Recommend financial actions by analyzing accounting options utilizing both intellect, training and financial analysis tools to provide value added advisory support to accounting clients.

    · Provide quality control by collecting and analyzing balance sheet, profit and loss statement, and other reports, directing staff to correct errors in advance of presentation to client.

    · Train and support staff in preparation of various business taxes such as sales tax, county taxes, and special state taxes; doing so when staff is unavailable.

    · Guides accounting and clerical staff by coordinating activities and answering questions.

    · Works with accounting staff in reconciling financial discrepancies by collecting and analyzing account information.

    · Complies with federal, state, and local financial legal requirements by studying existing and new legislation, enforcing adherence to requirements, and advising management on needed actions.

    · Prepares or delegates preparation of special financial reports by collecting, analyzing, and summarizing account information.

    · Maintains customer confidence by keeping financial information confidential.

    · Contributes to team effort by accomplishing results as needed.

    PAYROLL

    · Work with assigned accountants and reception to maintain records of timely payroll filings.

    · Obtain weekly and monthly reports of client payroll information.

    · Insure accountants regularly merge payroll data in with QuickBooks and QuickBooks Online accounting clients.

    · Work with Staff to avoid oversights and provide advice on handling difficult situations with clients with payroll issues.

    · Work to standardize and improve payroll service to clients and their staff.

    · Develop competency to utilize payroll application to extract reports and monitor client status to effectively manage the payroll function and identify potential problems and work with staff and General Manager to resolve those problems promptly.

    ADVISORY

    Advisory as a process and work product is new to us as a company. Critical to providing select clients with knowledge in a way we can monetize first requires timely, up-to-date financials. Especially new clients whose records may need significant correction to provide accurate advisory services, creates pressure on us as a company to prioritize and bill to accomplish the accounting and payroll activities in order to provide timely and accurate advice.

    · Utilize tools such as QuickBooks and QuickBooks Online, Auto Review, Fathom and Live Plan to perform financial analysis and develop useful reports from which to provide advice to our package clients at the level appropriate to their needs.

    · Establish and adhere to advisory schedules including recurring tasks, report delivery, exceptions requiring advisory input as well as advisory client inquiries.

    · Establish and adhere to standards regarding advisory service, which clients qualify, and what level of support each client should/should not receive.

    · Participate in approved continuing education with the goal of regular updates on tools, tips and best practices in the accounting industry.

    · Recommend and advocate for appropriate developmental training for support, production, and managerial staff.

    · Regularly schedule and attend client advisory meetings in person, online and on telephone.

    · Participate in prospective client meetings with a focus on vetting clients who can fit our processes rather than fitting our processes to their desires.

    TAX

    · Works with Accountants and tax preparation staff to insure prompt and accurate income tax returns are delivered to clients and filed properly with various taxing authorities.

    · Collects completed financials and supporting documents of accounting and payroll clients in support of timely preparation of income and other tax returns.

    · Insures year-end closings of accounting books are timely.

    · Utilizes trial balances, enters adjustments and finalizes books as part of income tax preparation process.

    · Interview clients to obtain additional information on taxable income and deductible expenses and allowances.

    · Interview clients to gather financial information.

    · Use all appropriate adjustments, deductions, and credits to keep clients' taxes to a minimum.

    · Prepare or assist in preparing simple to complex tax returns for individuals or small businesses.

    · Furnish taxpayers with sufficient information and advice to ensure correct tax form completion.

    · Check data input or verify totals on forms prepared by others to detect errors in arithmetic, data entry, or procedures.

    · Consult tax law handbooks or bulletins to determine procedures for preparation of atypical returns.

    · Answer questions and provide future tax planning to clients.

    · Explain federal and state tax laws to individuals and companies.

    · Providing assistance during tax audits

    · Other tax projects as they arise.

    GENERAL

    · Meet with General Manager every Friday at 4PM PST with Clients highlighting those over 90 days past due on completion along with calendar discussing deadlines met and no met, why and plan to bring client up to date within next 30-days.

    · Email General Manager about end of day daily with work completion summary noting what has been done by Accounting Manager and subordinate staff, where problems were encountered, and what was done to overcome those problems.

    · Insure accountants and self-utilize QuickBooks and other approved work timers to deliver accurate billing to clients, workload management, and analysis of workload in relation to billing of clients with an eye toward identifying and eliminating time-wasters and unproductive relationships.

    · Create invoicing for each client based upon tracked time and tasks at appropriate billable rates.

    · Utilize e-mail and telephone in conduct of regular tasks, as well as substituting for reception staff when on break or otherwise unavailable.

    · Regularly update client status and bookkeeping status reports.

    · Use Outlook and Outlook Calendar along with recurring task reminder system in Outlook to help avoid missed tasks and help stay on track with recurring activities.

    · Perform other duties and responsibilities, as assigned, or based upon staffing issues and situational needs.

    Job Type: Full-time

    Pay: $60,000.00 - $85,000.00 per year
