Accounts Payable/Receivable Manager manages the accounts payable and accounts receivable functions of an organization to ensure compliance with internal controls and accounting policies. Reviews and evaluates the accounts payable and receivable registers to validate charges and ensure timely and accurate payments and receipt of payments. Being an Accounts Payable/Receivable Manager monitors account aging reports, identifies delinquent accounts, and refers accounts to collection agencies. Verifies customer credit limits and applicable payment terms. Additionally, Accounts Payable/Receivable Manager designs and implements standard policies and procedures to ensure accurate and compliant financial records. Audits methods and procedures of the accounts payable and receivable functions to improve efficiency. Requires a bachelor's degree. Typically reports to a director. The Accounts Payable/Receivable Manager manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions. To be an Accounts Payable/Receivable Manager typically requires 5 years experience in the related area as an individual contributor. 1 - 3 years supervisory experience may be required.   • The Accounts Manager is an integral part of the support staff at Morrice, Lengemann & Miller, P.C. This person performs a combination of administrative, bookkeeping, payroll, and other additional duties. This person works closely with the attorneys and other support staff. This person must be able to obtain a notary public with the State of Michigan.

    The duties of the Accounts Manager shall include, but are not limited to the following:

    Bookkeeping

    • Manage the firm’s General Ledger, Accounts Receivable, Accounts Payable, Insurances and Client Matters using the firm’s software (Tabs3). This includes processing all monies received, creating and distributing invoices, maintaining delinquent accounts, paying bills, making bank deposits as needed, reconciling bank statements, and maintaining source documents for all transactions.
    • Reconcile statements for attorney credit card purchases with receipts.
    • Maintain petty cash funds and reconcile on an as needed basis.
    • Prepare weekly/semi-monthly payrolls, calculate and pay appropriate State and Federal taxes timely and record all figures into accounting software.
    • Maintain employee records and notary renewals.
    • Prepare Reports weekly, monthly, quarterly and yearly for attorneys and firms’ CPA.
    • Assist the firms’ CPA with any documents needed to prepare the corporate return.
    • Assure that the firm is in compliance with all legal accounting requirements and is utilizing practices recommended by the partners and their CPA.

    Client Matters

    • Oversee the Client matters in the company database.
    • Reconcile client payment amounts with receipt and deposit entries in software.
    • Be able to communicate with clients and firm members to resolve any billing issues.

    Communications

    • Serve as front office team member as needed. This includes greeting people at the front office, answering the telephone, providing information about the firm, scheduling appointments and transferring calls to the appropriate firm member.
    • Maintain Mitel multi-line phone system.

    Information Technology

    • Oversee the firm’s computer system. This includes providing input on the firm’s technology needs, maintain computer data back ups on a regular basis, manage the internet access, manage the domain and related email addresses and trouble shoot computer problems and/or assisting outside IT firm when needed.

    General Duties

    • Order office supplies or gather locally.
    • Maintain office printers, copiers, and scanners.

    All of the above duties are subject to change or modification at the discretion of the firm.

    Salary Range: $17.00 - $20.00 starting wage/depending on experience

    Schedule: This is a part-time position. Preferred candidate will work 2 – 3 days per week as needed; in the office, not remotely. Regular business hours are 8:00 a.m.-5:00 p.m.
