Associate Admissions Director oversees one or multiple areas of student admissions. Manages and implements strategic recruitment and communication plans to ensure college's enrollment goals. Being an Associate Admissions Director may take part in graduate school admissions and scholarship administrations. Requires a bachelor's degree. Additionally, Associate Admissions Director typically reports to Chief Admissions Officer. The Associate Admissions Director manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions. Extensive knowledge of department processes.   • The Admissions Associate coordinates all admitting department operations in a nursing home environment. Ensures compliance with applicable standards. Being an Admissions Associate oversees the in-patient/out-patient functions, bed assignments, and completion of preliminary paperwork for entering patients. Works with medical, nursing and accounting staff to ensure appropriate patient placement. Additionally, Admissions Associate confirms that all insurance benefits coverage meets standards of admission as dictated by policy. As part of a strong multi-facility team, the ideal candidate will positively contribute to the philosophy and goals of the organization i.e. mission, values and a person-centered approach. Reports to our Admissions Liaison/Operations Leadership.

    This position is hybrid with periodically working from facilities.

    Schedule:

    • Monday - Friday 8 am-5 pm
    • On-call weekend and holidays

    Job Duties:

    • Data entry and communication with insurance companies.
    • Work with Hospital Case Managers to admit patients to facility, work with Admissions Director, verify insurance eligibility, etc.
    • You will receive and review all inquiries regarding facility admissions via telephone, email, fax and in person.
    • Admission agreement packets, answer questions regarding facility services to prospective patients and families.
    • Nursing Home Experience or Healthcare experience preferred
    • Strong personal skills needed
    • Establish excellent relationships with referral sources and community members.
    • Clinical review of potential admissions and contact with patient/family to prepare them for admission, as needed.
    • Expedites flow of admissions through timely decision making and collaboration with all involved parties as necessary.
    • Obtain verification or authorization of payment source(s)
    • Document referrals and outcomes of each potential referral
    • Maintain Admission Log
    • Understand the impact of reimbursement for various payer sources including, but not limited to, Medicare, MaineCare and Managed Care.
    • Maintain daily census and mix goals per facility budget.
    • Produce required reports, summaries and recommendations.
    • Make regular visits to area hospitals to inquire about referrals and build relationships, as needed
    • Communicate admission information to facilities in a timely manner.
    • Effective and timely collection of clinical data relevant to the patient/resident’s care, MDS completion and care plan development.
    • Obtains pre-certification from insurance companies, as needed
    • Promote excellent customer service skills and role-model consistently.
    • Collaborate with COO regarding written policies and procedures associated with admissions and associated functions.
    • Represent the northern facilities at vendor fairs, expos and functions related to marketing and sales activities.
    • Maintain excellent working relationships with all internal and external colleagues

    • Understanding of functions and use of office equipment (including computer, fax, copier, printer, postage machine, and phone system, etc.)

    • Able to deal tactfully with personnel, residents, family members, visitors, and the general public.
    • Able and willing to work harmoniously with professional and non-professional personnel.
    • Must be willing to seek out new methods and principals and incorporate them into our processes

    Minimum Qualifications:

    • Medical Terminology preferred
    • Must be a Maine resident
    • High School Diploma or equivalent
    • Will need reliable transportation to periodically travel to facilities
    • Must be able to write the English language in a legible and understandable manner
