SCHEDULE: Daytime Weekdays, occasional nights and weekends.

STATUS: Non-Exempt

COMPENSATION: $22/hour

REPORTS TO: Calderwood Pavilion Manager

STATEMENT OF JOB:

The Calderwood Pavilion Management Associate is a key player in the operations team of the Calderwood Pavilion for The Huntington. The primary focus of this position is supporting the Calderwood Pavilion Manager and House Manager in their clerical, accounting, and scheduling responsibilities. This position will interact with rental clients and vendors of the Calderwood Pavilion to ensure our daily operations run smoothly. Additionally, they may be asked to manage events taking place in the building, ensuring excellent customer service is provided to all patrons, tenants, and clients.

JOB DUTIES:

• Assists Calderwood Pavilion Manager with financial tracking of the Calderwood Pavilion including invoice generation, completion of accounting forms, and organizing revenue and expense records.

• Coordinate with Calderwood Pavilion Manager to accomplish all office tasks such as mail runs, supply orders, organizational filing, and swipe card distribution, etc.

• Maintains and distributes the Calderwood Pavilion building’s calendar insuring it is accurate and up-to-date.
• Act as lead user and trainer for Artifax. Add/ delete users as requested, facilitate training and correspond with software provider as needed.
• Assist with inventory monitoring and purchasing of concessions and other expendables.
• Assists with setup and breakdown of events and functions in the building.
• Works with building vendors and staff to ensure the facility is in proper working condition.

• Building coverage for rehearsals and events, including opening and closing responsibilities, when needed.

REQUIREMENTS:

• 1-2 years of previous administrative experience preferred.
• Excellent written, verbal, and interpersonal skills are necessary for this position.
• Knowledge of Microsoft Word and Excel are extremely helpful.
• The position holder should possess the ability to prioritize, multi-task and process assignments quickly and efficiently with minimal supervision.
• This person must be able to work positively and effectively in fast-paced, stressful situations.
• Background in theatre is recommended.
• Experience with sales or customer service are helpful.
