    Description

    Under the supervision of the Registrar, the Associate Registrar is responsible for sharing the overall supervision and management of the Registrar’s Office, including maintenance of registration and academic records. The position oversees the official evaluation, training and posting of transfer credit and advanced placement credits to the academic record. The Associate Registrar audits undergraduate and master students’ final degree requirements for certification of graduation, monitors compliance with academic regulations, academic policies, and degree requirements of all degree programs. The position confirms the academic eligibility of students to participate in UI&U commencement ceremonies and assists with university commencement activities aligned with the Registrar’s office. This position provides academic policy and procedure oversight in the development of institutional articulation and academic agreements with other colleges/universities and/or external organizations or agencies. This position requires minimal supervision and independent decision making.

     

    PRINCIPLE DUTIES & RESPONSIBILITIES: (% of time)

     

    Academic Record Maintenance/Transfer Credit Evaluation (25%)

     

    • Analysis and official evaluation of transfer credit and all forms of advance placement credits for UI&U students, including updates to transfer credit or advance placement credit.

     

    • Verifies and determines transfer credit equivalency and applicability to the appropriate degree program in compliance with each program’s specific transfer credit policies and posts to the academic transcript/record.

     

    • Oversees the data accuracy of the advising/degree audit module for all university programs.

     

    • Maintenance/updating of transfer credit catalog.

     

    • Consults with national dean, program chairs, and program advisors on academic record/registration issues that impact the acceptance and applicability of transfer credits or advance placement credits to a student’s degree program.

     

    • Provides day-to-day training and supervision of transfer credit personnel, and the Registration & Academic Records Data Coordinator.

     

    Academic Policies & Procedures Interpretation (15%)

     

    • Interprets and enforces academic policies and procedures.

     

    • Assists the Registrar with the production & editing of annual updates to university academic catalogs and serves as a representative of the Registrar’s Office in the review of institutional publications and brochures, both print & web-based.

     

    • Consults with program deans on new program development & assures compliance with institutional policies & procedures of all proposed new programs.

     

    • Provides academic policy & procedure oversight in the development of institutional articulation & academic agreements with colleges/universities &/or outside organizations & agencies.

     

    • Provides knowledge and understanding of academic regulations (local, state and national) for each program including FERPA and the ability to apply those regulations in relation to the functions of the Office of the Registrar.

     

    Graduation Responsibilities (50%)

     

    • Audits undergraduate and masters student records ensuring that all university and major degree requirements have been fulfilled prior to certifying graduation & posting on permanent academic records.

     

    • Oversees the accuracy of students’ academic and registration records to ensure compliance with the students’ program and academic regulations.

     

    • Reviews & approves student commencement participation requests and supports other commencement related duties as required.

     

    • Assists with University commencement activities as assigned.

     

    Miscellaneous (10 %)

     

    • Provides day to day training and supervision of the Transfer Credit Data Entry staff.

     

    • Trains UI&U staff in transfer credit policies and procedures.

     

    • Develops annual updates to academic calendars.

     

    • Serves on university committees as assigned.

     

    • Assists the Registrar with the analysis and implementation of Jenzabar upgrades to the registration and advising modules, including the development of additional systems functionality and optimization to support the Registrar’s Office responsibilities to the university.
    • Participate in Registrar’s Office Team-based responsibilities:
      • provide information regarding how to request transcripts;
      • contribute to team effort by welcoming new and different work requirements and continuousimprovement technology initiatives in the Registrar’s Office;
      • explore new opportunities to enhance and streamline the services of the Registrar’s Office;
      • help other staff members accomplish related jobs as and where needed.

     

    Understand and remain in compliance of academic regulations (local, state and national) for each program, including FERPA, and the ability to apply those regulations in relation to the functions of the Registrar’s Office.

     

    KNOWLEDGE, TRAINING, SKILLS, EXPERIENCE AND ABILITIES:

     

    • Registrar’s Office experience in academic records management and implementation of academic policies and procedures.

     

    • Experience with transfer credit analysis and evaluation.

     

    • Knowledge of and experience with standard office computer software (Microsoft Office and Microsoft EXCEL) and automated student information systems (CMDS/Jenzabar EX versions preferred) and various software packages.

     

    • Experience working with computerized degree audits and transfer credit equivalency tables used to build an electronic transfer catalog.

     

    • Strong management, organizational, supervisory, oral and written communication skills.

     

    • Consistent high level of attention to detail, accuracy, and interpersonal skills.

     

    • Customer service, student centered orientation.

     

    • Understanding of academic regulations (local, state and national) for each program including FERPA and the ability to apply those regulations in relation to the functions of the Office of the Registrar.

     

    • Ability to identify problems, implement solutions and resolve issues with students, administrators and staff.

     

    • Exhibits initiative by taking immediate and independent action when necessary, assuming initiative for creative problem solving, accomplishes responsibilities with follow through to completion.

     

    • Ability to prioritize work to meet deadlines on a constant basis.

     

    • Exhibits team work approach in office and university responsibilities.

     

    NOTE: Full-time. Regular working hours, Monday-Friday. Occasional evening or weekend work may be required.

     

    REQUIRED:

    • Minimum 2- 3 years’ experience in a Registrar’s Office or related student service area in higher education.

     

    • Bachelor’s Degree required, (master’s degree preferred).
