Business Process Specialist, Sr. researches, analyzes, and recommends changes to an organization's business processes to improve operational efficiencies, quality, service, and profitability. Collects and studies operational and performance data to identify trends and opportunities for improvement. Being a Business Process Specialist, Sr. develops process documentation and project plans. Creates flowcharts, process maps, and diagrams. Additionally, Business Process Specialist, Sr. supports cross-functional activities and working sessions during projects' design and implementation phases. Designs and prepares documentation, training materials, and communications supporting new processes. May deliver training to impacted business units. Requires a bachelor's degree. Typically reports to a manager. The Business Process Specialist, Sr. works autonomously. Goals are generally communicated in "solution" or project goal terms. May provide a leadership role for the work group through knowledge in the area of specialization. Works on advanced, complex technical projects or business issues requiring state of the art technical or industry knowledge.   • SUMMARY

    Primary job function is to provide material and operational support for all sales support functions within the department. Prepare review and provide administrative assistance, while coordinating with guests. The Specialist is responsible for providing the best possible customer service in all aspects of the department. Routine contact with internal and external clients is fundamental to the success of the Sales department.

     ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.  Other duties may be assigned.

     

    ·         Answer multi-line telephone system in order to receive/provide information from guests to Meeting & Event Sales managers.

    ·         Communicate with guest for all business inquiries.

    ·         Maintain multiple lead sources for inquiries from guests

    ·         Set up, maintain, and route guest inquires to hotel departments to ensure correct/current/ information is conveyed.

    • Heavy data entry for group bookings
    • Maintain function book for accuracy
    • Process space hold requests from sales and event managers
    • Process post event data for reporting
    • Compile and communicates various daily, monthly, and quarterly data reports as assigned by the Business Manager. 
    • Manages and communicates daily, monthly, and quarterly data to other departments.

     

     QUALIFICATIONS

    Must be at least 21 years of age, self-motivated, good organizational skills; customer service oriented, have flexibility and communication skills.  Excellent computer skills including Word, Excel, and Knowledge of SalesForce CRM, Delphi, AS400 - LMS, and hotel background preferred.  Must be personable with exemplary customer service skills, pro-active and a team player.

      

    EDUCATION

    Minimum 3 years of experience in contract processing functions. Minimum 1 year experience in sales systems such as Delphi, Knowland, AS400, CVENT.  Sales Admin experiences a plus.

     LANGUAGE SKILLS

    Excellent communication skills both written and oral. Must possess interpersonal skills to deal effectively with business contacts and employees at all levels of the company.   Must possess a strong attention to detail and presentation skills. Ability to effectively present information and respond to questions from groups of managers, staff, customers, and general public. 

     

    Results oriented, hands-on professional with the ability to deal effectively and interact well with the customers and employees. Must have the ability to resolve problems/conflicts in a diplomatic and tactful manner.

     

    MATHEMATICAL SKILLS

    Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Can compute rate, ratio, percent, and to create and interpret bar graphs.

     REASONING ABILITY

    Ability to define problems, collect data, establish facts and draw valid conclusions through decisive judgment. Ability to interpret and follow through on a variety of instructions furnished in written, oral, diagram or schedule form.

     Other Qualifications

    Must be a minimum of 21 years of age.  Must be proficient in Microsoft Office Products:  Word, Excel, Power Point, Publisher, and Outlook. Flexible to work all shifts including holidays, nights, weekend hours and overtime as business needs dictate.

The employee must occasionally lift and/or move up to 25 pounds.  Specific vision abilities required by this job include close vision, distance visions, color vision, peripheral vision, depth perception, and ability to adjust focus.
