Summary:
Performs a variety of technical clerical, record keeping, data entry, and reporting tasks, as well as training users of the district student information system.
Essential Duties & Responsibilities:
Specific duties may vary depending on the needs of the department. The Incumbent(s) typically perform a substantial portion or all of the following kinds of duties:
- Provides support to the users of the district’s student information system, Synergy.
- Trains school staff in all phases of entering/maintaining student enrollment into Synergy.
- Works with the ITS Data Team in building student data from one fiscal year to another, and assists district schools in building new teacher files and courses for new enrollment and staffing changes throughout the year.
- Assists school site staff in the student information system application, troubleshooting problems encountered with computer-aided data entry and documentation during the application process.
- Enters and updates information into system according to standard formats.
- Extracts data from existing databases and converts to other formats.
- Tests student reports on a regular basis for accuracy and reports problems to software provider.
- Works with software vendor to resolve software issues.
- Prepares and provides periodic student attendance reporting.
- Sets up files and critical dates for internal, interim, and year-end attendance reporting.
- Trains school office staff in Attendance procedures and Monthly Attendance accounting.
- Generates schools’ Progress Reports and Report Cards.
- Updates grade files as needed for accurate grade histories for student transcripts.
- Interfaces with CALPADS which collects and stores statewide longitudinal student data through regular data submissions to keep enrollment information.
- Maintains records and files of documents processed for ready access and compiles various reports according to well-defined operating procedures.
- Respects and assures privacy of information contained in student files.
- Compiles data for use by others in reports. Maintains and searches out information in departmental records and files.
- Performs other related duties as assigned that support the objective of the position.
Qualifications:
- Knowledge and Skills:

Requires a working knowledge of office practices, procedures and equipment, including filing systems, receptionist and telephone techniques, and letter and report writing. Requires working knowledge of personal computer-based software programs that support this level of work, including but not limited to word processing, spreadsheet, presentation graphics, and specialized data management software used in education. Requires business mathematics skills to compute sums and statistics. Requires sufficient skill using the English language, grammar, spelling, punctuation, proofreading, editing, to prepare original correspondence. Requires sufficient human relations skills to orient and instruct others, convey procedural information to others, and use patience in dealing with a diverse population.

Requires the ability to perform the duties of the position. Requires the ability to learn, interpret, explain, and apply knowledge of the district’s student information system, operations, programs, functions, and special terminology when training users and performing assignments. Requires the ability to learn and operate Microsoft Office programs and other district applications as needed. Requires the ability to prepare written materials and basic spreadsheets. Requires the ability to operate standard office machines and equipment. Requires the ability to maintain records, verify the accuracy of documents prepared by others, and prepare reports. Requires the ability to maintain confidentiality of private and sensitive information. Requires the ability to meet deadlines and schedules. Requires the ability to communicate with peers and other staff or public in a customer service manner reflecting positively on the department and district.
Education and Experience:
- High School diploma or GED.
- Two (2) years of general keyboarding experience in a customer service oriented environment preferably in an educational setting.
Licenses and Certificates:
- May require a valid driver’s license.
- Typing Certificate of at least 50 Net WPM (Must be dated within 1 year, online typing test certificates are not accepted)

Salary and Terms of Service:
Salary range (C7) $24.68 - $29.93 per hour, nine (9) steps, eight (8) hours per day and five (5) days per week (M-F), 12 months per year. Holidays, sick leave and vacation benefits. Prepaid family dental, medical, and vision insurance, prepaid life insurance plan for employee only.
