    General Statement

    The Staff Assistant for the President's Office is an integral member of the President's Office Staff. They will assist with overseeing all operational functions of the President's Office as well as liaise between department heads, students, faculty, staff, and other stakeholders.

    Duties and Responsibilities

    • Perform and/or coordinate a wide range of administrative and clerical activities for the President's Office including but not limited to document production, information distribution, setting up and maintaining budget records, scheduling and planning meetings, and ordering inventory/supplies.
    • Assist with all operational functions of the President's Office and assist with coverage for phone and office.
    • Assist with in-person and virtual event logistics for the President's Office and Staff Development Committee, including but not limited to preparation of event/meeting materials, communications, purchase orders and vendor payments.
    • Understand and embrace the ideals of diversity, equity and, inclusion and support the equal and equitable rights of all people/(identities) by advancing the understanding and appreciation of differences including age, race, gender, ability, religious convictions, socio-economic status, ethnic heritage, sexual orientation, and intersectionality.
    • Create a welcoming environment in the President's Office by greeting students, faculty, staff, and visitors and providing flexible, responsive, and high-quality service to all. Assess the urgency of requests and direct concerns to the appropriate members of the President's staff in a timely manner.
    • Receive and appropriately screen visitors and telephone calls; answer and/or refer inquiries to appropriate parties for action.
    • Exercise judgment in a multi-tasking environment and adjust priorities as required.
    • Maintain an efficient filing system for quick retrieval of information.
    • Maintain databases and files using various computer programs including but not limited to Microsoft Word, Excel, Power Point, Outlook, and SharePoint
    • Represent the President's Office in a professional, service-orientated, student-centered and welcoming manner.
    • Collaborate and develop working relationships with all levels of internal stakeholders across campus.
    • Exhibit a high degree of professionalism and judgment demonstrating discretion and respecting confidentiality.
    • Perform other duties as assigned.

    Job Requirements:


    Minimum Qualifications

    • Associate's degree in administration, business or related field, or 1-3 years' experience working in an administrative assistant role
    • Ability to use a variety of computer applications, including Microsoft Word, Excel, Power Point, Outlook, and SharePoint
    • Ability to work well in a team environment.
    • Excellent interpersonal, oral, and written communication skills; Demonstrated ability to communicate effectively and to work with a wide range of constituencies in a diverse community.
    • Excellent in-person and phone customer service skills
    • Ability to maintain a high level of confidentiality.
    • Excellent time management skills and ability to juggle multiple tasks.

    Preferred Qualifications

    • Bilingual or multicultural
    • Demonstrated commitment to discussing, integrating, and promoting diversity, equity, and inclusion
