The HP Project coordinator is responsible for the efficient and safe design and installation of Heat Pump technology. This position responds to sales and directs project implementation. While they are not accountable for operations, this position ensures that processes are clear and everyone involved understands the design and installation process.
This is a level 3 coordinator position with employee supervision responsibilities, and is supervised by leadership.
HP Project employees include planning and operations employees, though the position only supervises planning department employees.
Accountabilities
Management of the HP Project Process
Supervision and support of all HP project employees.
Hiring, training, reviewing, and terminating HP Project employees within the planning department.
Creation, implementation, and enforcement of departmental policies regarding HP Projects.
Support of HP Projects in their pursuit of the highest quality work in any way needed.
Safety
Ensuring employee adherence with the Ethos Safety Policy.
Ensuring any injuries and/or near misses are recorded and reported properly in keeping with the Ethos Safety Policy.
Continual observation and improvement of safety conditions under which HP Project employees work.
HP Project employee development
Tracking and support of all activities pertaining to the long term development of HP Project employees through training and certification schedule.
Ensuring HP Project employees are completing their training within the timelines dictated by the training and certification schedule.
Ensuring all HP Project employees are current and in good standing with regard to their licenses/certifications
Regulatory Expertise
Acting as resident expert and resource with regard to all regulatory requirements.
Timely communication of all known regulatory requirements changes to Leadership.
Ensuring all HP Project activities are in keeping with regulatory requirements within which it operates.
Building, communicating and maintaining highly functional systems for the sale, design, installation and service of all HP technology.
Admin
Invoicing processes, component pricing, job costing and inventory management
CRM process support for efficient project development and implementation
Sales
Product value proposition for sales communication, lead generation and intake information, marketing support, site assessment scheduling and proposed design detail for estimates
Multi-project customer development and maintenance
Support in developing budgetary info for revenue and expenses
Planning
Site assessment, project design, permitting, regulatory, product selection and distributor relationships
Operations
PVM construct and communicating Mechanical and Electrical design direction to coordinators and crew leads
Continual maintenance and informing of changes for licensure and certifications required
Service
Diagnosing service issues for installed systems
Directing incoming service calls to technicians
Management of HP Project Activities
Supplies
Ensuring all parts and components are procured.
Proper management of the receipt, maintenance, and consumption of all HP Project inventory in keeping with guidelines set by Finance & Admin.
Ensuring any delay(s) of goods that may affect project schedule(s), are communicated to Operations.
Scheduling
Managing the HP Projects schedule in collaboration with Operations.
Communicating the HP Project schedule and any changes to sales and admin.
Job Preparedness
Ensuring the HP Project department has everything it needs to execute daily operations. Ex. tools for site assessment, training, product information
Maintenance
Ensuring all HP Project assets and tools are maintained such that Operations can function optimally.
