Job Description
This position will provide professional-level support in managing, coordinating, and directing the ODOT Engineering Development Program. This position will be assigned administrative, staff, or program responsibilities, coordination, promotion, and be responsible for the improvement of the EDP program. Assignments will include providing services in the areas of formulating policies or operating procedures, preparing program budget documents, processing financial transactions, providing human resources support, or other functions. Will be responsible for supervising program services, performing highly technical managerial and administrative support duties, directing and coordinating educational programs, and other comparable responsibilities.
Typical Duties:
- Plans, organizes, and/or directs components of the engineering development program to include the following:
- Recruiting Activities
o Reserve vendor booth
o Process payments
o Prepare recruiting materials
o Maintain banners and booth displays
o Attend recruiting events
o Recruit Engineer Interns
o Coordinate Job Postings with Human Resources
o Coordinate interviews
o Assist with selections
o Create offer letters
o Greet new hire on day one
o Ensure completion of new hire paperwork
o Issue equipment for work assignments
o Ensure technology is ordered and ready
o Enroll the employee in training
o Complete offboarding requests
o Make Travel Reservations
o Process Travel Claims
- Coordinate Work assignments for Interns
o Manage EIT rotation schedule and assignments
o Contact division/districts to coordinate assignments
- Career Progressions & Bonus Payments
o Monitor individual’s progress to ensure career progressions are processed timely
o Process sign-on bonus payments
o Compile data on employee trends, turnover, retention, success
o Provide data analysis and recommendations
o Approve time and leave, confirm with division accurate time reporting
o Process PMPs and collect feedback from divisions
o Purchase equipment and supplies
o Process claims, creating Purchase Orders, and Authority Orders
- Training Events
- Plan, develop, and conduct training events and meetings as required; represent the agency at meetings and events.
o Create training agendas
o Reserve training space
o Coordinate food and refreshments
o Secure speakers
o Guide employees needing Tuition Reimbursement
o Check out study materials
o Register employees for study programs
- Engineering Development Council
o Schedule meetings
o Create agendas
o Take notes for reference
Education and Experience
Level II:
Education and Experience requirements at this level consist of a bachelor's degree and one year of professional or technical administrative* experience in business or public administration; or an equivalent combination of education and experience, substituting one year of qualifying experience for each year of the required education. ## *Technical administrative experience would include highly complex clerical work gained under the direct supervision of a professional supervisor or manager. *Technical administrative experience would include highly complex clerical work experience gained under the direct supervision of a professional supervisor or manager.
Level III:
Education and Experience requirements at this level consist of a bachelor's degree and three (3) years of professional experience in business or public administration; or an equivalent combination of education and experience, substituting one year of technical administrative* experience for each year of the required bachelor's degree. One year of technical administrative* experience may also be substituted for one year only of the required experience.
