Suggests improvements to process, is a knowledge resource for other team members. Has no authority for staff actions. Generally has a minimum of 2 years experience as an individual contributor. Employee Program Assistant (Communications Assistant)

    • Bachelor’s degree and two years of relevant experience.

    • Experience providing graphic design for promotional materials, social media, and website content.

    • Experience with writing and editing copy for both digital and print communications.

    • Experience using Microsoft Office Suite (including PowerPoint), Adobe Creative Suite (InDesign, Photoshop, and Illustrator), Adobe Acrobat Pro, Constant Contact, and video development tools (such as Adobe Premier, Camtasia, or other).

    • Familiar with Web Content Accessibility Guidelines (WCAG).

    • Experience making PDF documents accessible using Adobe Acrobat Pro.

    • Experience developing and maintaining websites using accessibility and usability best practices (Drupal platform preferred).

    • Ability to effectively manage multiple assignments simultaneously to meet deadlines.

    • Experience with NYS Brand Guidelines preferred.

    • A satisfactory equivalent combination of appropriate experience and education as determined by the NYS Office of Employee Relations.


    Duties Description
    The Employee Program Assistant (Communications Assistant) designs and produces communications materials in support of the Agency’s mission and as directed by the Communications Director. Creates interactive and dynamic multimedia, web, digital layouts, produces audio/video, and print projects.

    Duties include but are not limited to:

    Marketing and Communications

    • Assist in the design and creation of agency communications.

    • Develop content for agency for website, print and electronic publications, and digital and social media.

    • Work with staff to create visual concepts to communicate key technical information to a diverse audience.

    • Establish and maintain a consistent brand identity.

    Website Design.

    • Design and create web-based materials.

    • Support the development and implementation of initiatives through accessible and highly functional web design.

    • Serve as the co-liaison to WebNY on matters related to maintenance and functionality of website.

    • Work with agency staff who serve as web-editors on maintaining and reviewing web pages.

    • Serve as website administrator.

    • Track website activity, including most frequently visited pages and downloaded materials using G4 Analytics.

    Social Media

    • Design graphics for social media.

    • Copywrite for social media platforms.

    • Assist with development and implementation of social media content calendar.

    • Maintain YouTube channels.

    Accessibility and Language Access

    • Create new and make existing documents accessible with Adobe Acrobat Pro to be posted on the website.

    • Work with vendors to ensure document translation, as needed.

    Administration

    • Update and maintain the OER Intranet site.

    • Administer forms control system to register, track and maintain all agency forms.

    • Assist with the agency’s Publications Review Process which entails the review and approval of all agency publications, training curricula and literature to ensure accuracy and quality.

    • Assist with the OER/LMC Professional Development Program.

    • Assist with special assignments and projects as appropriate and necessary.
