Ethics & Compliance Office Administrative Asst. coordinates the administrative work of the ethics and compliance function of the organization. Acts as a liaison with outside vendors to provide materials for the program including manuals and posters. Being an Ethics & Compliance Office Administrative Asst. receives helpline calls, faxes and emails from outside vendors, tracks issues and routes them to appropriate staff groups. Utilizes corporate software to input and track helpline call data. Additionally, Ethics & Compliance Office Administrative Asst. processes routine inquires and provides data in accordance with established policies and procedures. Codes and submits invoices for department charges, maintains tracking files, reconciles corporate credit card receipts and monthly statements for reimbursement, and prepares spreadsheets for charge backs to departmental cost statements. Requires a high school diploma or its equivalent. Typically reports to a supervisor or manager. To be an Ethics & Compliance Office Administrative Asst. typically requires 1-3 years of related experience. May be entry level if some experience in the skill.   • The Ray School is seeking to hire Office Receptioniststarting in the 2024-2025 school year.

    Qualifications include a sincere enjoyment of elementary students and their families, the ability to communicate in a positive manner, excellent phone skills, proficiency in various computer technology systems, and strong organizational skills. The Office Receptionists duties include welcoming guests and greeting visitors of the school as well asenforcing basic entry security measures. The Office Receptionist will also coordinate front-desk activities, including attendance, arrival/dismissal, distributing correspondence, answering and redirecting in-coming phone calls, othergeneral office duties as needed.

    This is a school-year (August - June), full-time (40 hours), fully benefited position.     General Purpose:

    To support the administration and staff in maintaining a safe, effective, and positive learning environment for students by performing a full range of secretarial/clerical and administrative functions for the administration, faculty and staff, including performance of key school administrative tasks.

    POSITION DUTIES AND RESPONSIBILITIES:

    Except as specifically noted, the following functions are considered essential to this position:

    • The principal function of an employee in this position is to provide clerical support to the Main Office as well as provide customer service to the public.

    General Responsibilities:

    • Greet and screen office visitors following school safety protocols
    • Answer incoming telephone calls. Forward calls and messages in a professional manner
    • Sorting incoming mail for staff and students
    • Assist in managing email addresses
    • Assist volunteers in filling out online volunteer form
    • Answer general inquiries or disperse general information on school procedure and policy
    • Ensure daily student and staff attendance records are accurate and up to date, as directed by building administration
    • Issue temporary and permanent bus passes, communicate dismissal changes as needed
    • Act as point of contact for transportation issues that arise related to arrival and dismissal of students
    • Assist with school mailings including
      • collection and deposit of student fees (by email)
      • Principals Weekly email to parents, students, & staff
    • Issue and file NH State Youth Employment Certificates (if applicable)
    • Maintain records and logs of
      • Staff & student sign in/out,
      • Visitor sign in
      • Staff meeting attendance
      • Recess schedule/outdoor classroom schedule
      • Open campus eligibility
      • Phone lists
    • Maintain all school master calendars (staff, classes, public, etc.)
    • Maintain and update websites as needed
    • Assist parents with general technology inquiries
    • Secretary for staff committees as assigned
    • Assist with March Intensive as needed (if applicable)
    • Coordinate substitutes (keys, schedules, timesheets, parking tags)
    • Maintain office inventory and supplies
    • Help troubleshoot issues and/or call for service for building copiers
    • Take initiative to assist other Administrative Assistant(s)
    • Assist with coordinating school sanctioned activities as assigned by building administration.
    • Act as backup to building administrative assistant, as directed by building administration.
    • Performs all duties in a professional and appropriate manner while interacting with students, parents, faculty, administration and co-workers. Perform other duties and accepts responsibilities as assigned
    • Must comply with all SAU 70 District policy and building / department rules, procedures, practices and objectives.

    MINIMUM QUALIFICATIONS:

    Education and Experience:

    • High School Graduate with at least one to three years experience in office setting
    • Expertise in computer applications (Microsoft Office, Google Apps)
    • A concern and commitment to working with and assisting teenagers
    • Personable and outgoing with ability to work well with students, staff,and the community

    Necessary Knowledge, Skills and Abilities:

    • Ability to communicate with tact, discretion and diplomacy, and with a high level of professionalism and confidentiality as outlined by FERPA
    • Ability to communicate courteously, efficiently and effectively with a variety of individuals, including students, faculty, administrators, parents, and representatives of outside organizations.
    • Ability to work cooperatively and effectively with peers, supervisors, parents, and outside agencies
    • Ability to handle peak pressure times during the school year
    • Flexible, timely, reliable, organized, and able to multitask as needed
    • Able to prioritize projects
