Facilities Manager manages the maintenance, construction, repair, and refurbishment operations of one or more facilities or properties. Implements policies and procedures that ensure the optimal functioning of buildings, grounds, and associated equipment. Being a Facilities Manager monitors daily building operations of all systems, including mechanical, electrical, plumbing, HVAC, safety, and waste management to ensure reliability. Tracks work orders for quality, adherence to service standards, and budgeted guidelines. Additionally, Facilities Manager trains supervisors and employees in best practices for maintenance work, service and safety standards, and local laws and regulations. I. SUMMARY
To responsible for coordinating day-to-day parking and transportation activities and supervision of parking staff and provide administrative support to management.
II. MINIMUM QUALIFICATIONS - EDUCATION/ EXPERIENCE REQUIREMENTS
• High School Diploma or equivalent required.
• Two (2) years administrative, secretarial, or business operations experience.
• Demonstrated verbal and written communication skills, demonstrated organizational skills, and demonstrated customer service and interpersonal skills.
• Demonstrated skill at typing 45 error-free words per minute.
• Personal computer skills including Microsoft Word, PowerPoint, Excel, and other Windows-based applications.
• Demonstrated knowledge of medical terminology preferred.
• Required in clinical areas: Must be able to successfully pass the Basic Windows Skill Assessment at 80% or higher rating within 30 days of date of hire.
FUNCTIONAL COMPETENCIES / JOB DUTIES
1. Supervisory: Supervises staff and responsible for interviewing, orienting, and training new staff.
:. Parking Coordination: Coordinate day-to-day parking activities for campus. Ensure parking requests are implemented. Provide customer service resolution to parking fees, tickets, and service.
r. Database Maintenance: Maintain Facilities Management ParkingfTransportation Database and offsite parking database.
4. Scheduling: Coordinate utilization of support staff to achieve effective and efficient services. Maintain open communication with other campuses to assist with scheduling and personnel issues.
5. Financial: Perform daily counts/deposits of parking revenue. Monitor and assess day-to-day financial operations of the parking office. Prepare daily and monthly revenue reports from TIBA software and submit to Corporate Accounting. Prepare, track, and audit departmental invoices and related expenses.
6. Administrative: Answer all incoming emails within 24 hours. Manage department supplies, inventory and equipment. Responsible for basic payroll or time-keeping activities, human resources paperwork and other business documents.
7: Software Support: Have a good working knowledge of the parking management software to assist staff with software problem resolution. Document software/hardware issues and notify vendor for resolution. Maintain communication with vendor until problem is resolved.
l. Miscellaneous: Create and manage process improvement initiatives for more efficient workflow. May serve on special projects is resolved.
