    JOB SUMMARY

    Supervises Financial Aid Officers and formulates procedures for functional area to ensure accurate, efficient, and timely delivery of student aid that is in compliance with regulations and supports departmental objectives.

    Reporting to the Deputy Director, the Associate Director manages the application analysis, eligibility determination and aid awarding for all student financial assistance programs administered by the Financial Aid and Scholarship Office including scholarship, grant, loan, and work-study. The incumbent also oversees management of our counseling area, ensuring prompt and compassionate service to individuals who contact the office for assistance. The Associate Director is responsible for managing outreach efforts to students and families, requiring effective management of the web, publications, social media, and in-person presentations.

    The Associate Director is responsible for leading and supporting a professional, efficient, and service oriented operation that provides a full range of financial aid services to parents, students, and staff at UCSC. This position requires demonstrated excellent leadership, management, analytical, communication, interpersonal, and team building skills.

    Salary Information: Salary Range: $82,300 - $90,000 / Annually. Salary commensurate with skills, qualifications and experience.

    JOB DUTIES

    25% -
    • Oversees and organizes operations of functional areas, including but not limited to federal and state programs, need analysis and packaging, and service and outreach.

    • Monitors and evaluates employee performance, providing direction, training, and assistance to Financial Aid Officers on the most complex and sensitive issues and circumstances.

    • Manages the Financial Aid Officers' workload and cyclical processes in support of campus enrollment goals and enrollment management timelines.

    • Recommends development of IT systems and interfaces with external systems to effect efficient delivery and reporting of student aid for the functional area, ensuring the security of private information. Ensures staff adhere to internal control structures, maintains security of private information.

    • Monitors program regulations, law changes, processing changes, and requirements. Incorporates these into office procedures and processes and adviser training programs. Ensures compliance of financial aid policies and programs with federal, state, University, agency and donor laws, regulation, policies and terms.

    • Uses professional judgment to adjust and/or correct data to resolve inconsistencies and ensure equity in the determination of financial need.

    • Maintains expertise in awarding and packaging aid, including analyzing application documents such as federal tax returns, asset statements and other financial information provided by students and parents to determine the accuracy of financial aid application data.

    • Maintains knowledge of current applicable rules and standards of the Pacific-10 Conference, the NCAA, as well as other associations and agencies to which the organization and the University of California adheres, and at all times, avoid any and all violations.

    • Recommends employees for promotion, corrective action, hiring, and separation of employees when appropriate.


    REQUIRED QUALIFICATIONS
    • Bachelor's degree in related area and / or equivalent experience / training.
    • Advanced knowledge of policies, regulations, and practices for awarding financial aid.
    • Organizational skills and ability to prioritize work for self and others to meet deadlines. Possesses strong project management skills.
    • Possesses strong written and verbal communication skills along with active listening, persuasion, and negotiation skills.
    • Possesses and uses strong customer service orientation skills.
    • Experience assessing processes and implement improvements.
    • Interpersonal skills in order to work collaboratively with others.
    • Social perceptiveness, the ability to sense verbal and nonverbal communication.
    • Proficiency with standard office software, internet, and email applications.
    • Experience interpreting complex policies and develop procedures to ensure compliance.
    • Advanced problem identification, critical thinking, and problem solving skills; judgment and decision-making ability.


    PREFERRED QUALIFICATIONS
    • Experience using complex databases. Working knowledge of common university-specific computer application programs.
    • Ability to define specifications for database programming.
    • Advanced knowledge of University policies, processes, and procedures, including those related to supervising employees.
    • Advanced knowledge of advising and counseling techniques.
