Roles Summary/Purpose:
Provide comprehensive administrative and logistical support to the SVP Home & Auto Commercial & Integration Leader
Independently handle administrative duties support and Uptown Charlotte site support
Ensure the Leaders’ schedules progress smoothly, commitments and deadlines are met and all meetings, reviews and conferences are organized effectively.
Essential Responsibilities:
Proactively support the SVP Home & Auto Commercial & Integration Leader and team by independently handling all assigned duties, taking direction from and balancing needs of staff members.
Maintain and coordinate calendars, schedule appointments and meetings, arrange travel schedules and itineraries.
Responsible for ensuring the office is well maintained by engaging facilities, equipment and supplies, coordinating repairs and maintenance services
Coordinate overall office operations, scheduling meetings, handling correspondence, and on-site point person
Facilitate and coordinate communication within the office, bother internally amongst employees and externally with clients, vendors and stakeholders
Support with the onboarding of new employees, visitors, and day to day office operations (might not need this one)
Process and reconcile Travel & Living expense accounts.
Coordinate Business Events (i.e. onsite meetings, connection days for employees, conferences, business dinners, client meetings, offsite meetings, etc.); handle all logistical details including participant travel, meal/menu organization
Support in generating and finalizing the format of all PowerPoint presentations, as requested
Develop work product leveraging Microsoft Excel/Word, type letters, memos, charts, reports, proposals, contracts, agreements or other types of correspondence and maintain records of all documents.
Create time for the Leader to focus on other priorities by leveraging effective scheduling techniques and anticipating key events in the company calendar/operating rhythm.
Organize & document Team meetings. Produce agendas and all relevant documentation prior to meetings.
Communicate information/actions to meeting participants.
Qualifications/Requirements:
High School Diploma or GED.
Minimum of 3 years Executive level secretarial/administrative experience. Requires professional experience in working with senior level executives within and outside the company as well as with clients, vendors, visitors, and other dignitaries
Minimum of 2 years’ experience preparing PowerPoint presentations with varying levels of complexity, and advanced usage of Microsoft Office
Minimum of 2 years’ experience of utilizing advanced meeting tools, such as Teams, multi person/multi-site Video Conferencing, Collaboration tools (e.g. Share Point), etc.

Eligibility Requirements:
You must be 18 years or older
You must have a high school diploma or equivalent
You must be willing to take a drug test, submit to a background investigation and submit fingerprints as part of the onboarding process
You must be able to satisfy the requirements of Section 19 of the Federal Deposit Insurance Act.
New hires (Level 4-7) must have 9 months of continuous service with the company before they are eligible to post on other roles. Once this new hire time in position requirement is met, the associate will have a minimum 6 months’ time in position before they can post for future non-exempt roles. Employees, level 8 or greater, must have at least 18 months’ time in position before they can post. All internal employees must consistently meet performance expectations and have approval from your manager to post (or the approval of your manager and HR if you don’t meet the time in position or performance expectations).
