    About the Opportunity

    The West Virginia University Research Corporation is seeking applications for a (Hybrid) Grants Administrator. This position is responsible for managing and providing centralized grant administration support to the Rockefeller Neuroscience Institute (RNI) and affiliates through developing strategies to meet and improve the organization's goals. This position will be providing management and oversight of daily post-award grant administration to members of the RNI community. The primary focus of this position is to administer post-award grant activities; however, this position will participate in pre-award administration support for RNI faculty as needed.

    What you'll do:

    Post-Award Administration:

    • Responsible for the post-award management of all sponsored projects assigned to incumbent.
    • Performs analysis and evaluation of data and collaborates with PI on project's progress. Makes recommendations as necessary.
    • Completes post-award financial and other miscellaneous agency reporting/updates (i.e. progress reports, budget modification requests, no cost extensions, grant close out reporting, etc.).
    • Remains current on all granting laws, regulations, policies and procedures (including OMB Uniform Guidance) and ensures that institutional and sponsoring agency policies are followed.
    • Interprets and educates PI's on policies and procedures to ensure all compliance needs are met.
    • Advise PI on necessary research compliance issues such as animals, human subjects, and/or biohazards.
    • Creates a statistical database or other electronic filing system to maintain funding records. Uses this data to create historical data including revenue, trends and future projections.
    • Collects and maintains current faculty information and biographical sketches for collaborating purposes and to update publication and official "other support" grant documents.
    • Creates an internal accounting/reconciliation system for all awards assigned to the incumbent. Verifies all grant expenses and creates routine reconciliation reports to distribute to the PI's.
    • Reviews, audits and approves all expenditures hitting extramural funding.
    • Educates PI's on managing budgets and reallocations of dollars. Counsels all PI's on cost accounting principles per sponsored guidelines.
    • Attends meetings, trainings, seminars, etc. to keep current on the vastly changing grant administration processes.
    • Advise/troubleshoot solutions that will enhance the efficiency of post-award administration at the RNI.
    • Assists RNI leadership with the development of operational policies and procedures for effective post-award management.
    • Advises/educates members of the RNI community on area of expertise as it applies to post-award processes and management.


    Pre-Award Administration:

    • Assists PI with entire submission process. Incumbent is responsible for establishing a timeline and ensuring the application is submitted to all RNI, HSC, and Office of Sponsored Program approving agents per institutional guidelines and follows-up to ensure the application reaches the agency on time for consideration.
    • Initiates, supervises and facilitates the preparation of grant applications, drafts the letters of intent, prepares agency application form(s), completes all internal application blue sheet forms and creates a working budget for the application.
    • Incumbent will monitor and remain knowledgeable of all current agency funding opportunities and advise PI's on searching/selecting appropriate grant opportunities that fit within their research.
    • Incumbent will develop the budget for all awards and ensure the budgets are accurate before submission to the approving agents.
    • Incumbent will maintain his/her knowledge of grants administration to serve as an advisor to the faculty within the incumbent's primary departments and HSC by creating an effective application process which proves successful for submitting high quality applications.
    Qualifications
    • Master's degree in Business, Accounting, or related field of study; Or an equivalent combination of education and directly related experience.
    • A minimum of two (2) years of experience:
      • Pre and Post Award Grants administration
      • Current software applications to support the needs of the position
      • Demonstrated ability to organize information, prepare complex reports for upper level administration.
      • Grants accounting, submitting proposals, completing online applications or reporting and other business related experience
      • Skills in, or knowledge of, professional principles, legal and/or reporting requirements affecting extramurally sponsored projects.
      • Demonstrated knowledge of higher education financial processes and procedures and managing accounting records
      • Demonstrated ability to create internal reporting systems and complete financial calculations and reports
    • Experience with Kuali Coeus (KC) and Oracle/MAP Financial System is preferred, but not mandatory.
    • Ability to analyze data and provide useful information to the granting agency, through WVU's Office of Sponsored Programs and Sponsored Project Accounting.
    • Ability to prepare, manage and maintain budgets and financial reports and provide reconciliation reports among clustered accounts. Must possess knowledge of these related accounting practices
    • Knowledge of WVU policies and procedures pertaining to budgetary, internal and external funding matters.
    • Proficiency in reading and interpreting Uniform Guidance and other federal regulations.
    • Knowledge of PC based software and related applications, including Microsoft Office Suite and Adobe Acrobat.
    • Knowledge of various grant proposal application processes (on-line and hard copy submissions). Must be skilled in working with grants and contracts in a higher educational environment.
    • Participation in national grant management organizations such as NCURA; striving to achieve CRA accreditation.
    • Ability to provide high-level oral and written communication necessary to explain complex sponsor and budgetary guidelines to appropriate management staff, to justify recommendations, and to interact with regulatory agencies and auditors.
    • Must have excellent organizational skills and be able to multi task and prioritize all work needing accomplished.
    • Must possess the ability to work independently and use excellent judgment in decision making.
