Administrative/Customer Experience Coordinator
Provider's Choice Laboratory is a new generation of laboratory testing and patient care. We provide PCR diagnostic laboratory testing and service providers across the entire state of Louisiana, Mississippi, and Texas. The job position of Administrative/Customer Experience Coordinator is an integral part of PCL’s mission of revolutionizing laboratory testing and provider partnerships that ensure all patients receive the timely care they deserve.
As an administrative/customer experience coordinator, you will play a crucial role in the efficient operation of the diagnostic laboratory facility. Your responsibilities will involve administrative tasks to ensure smooth workflow and exceptional customer service to clients and patients. This role requires strong organizational skills, attention to detail, and the ability to communicate effectively with both internal staff and external customers.
Responsibilities
Administrative Support:
Assist in managing administrative tasks such as scheduling appointments, managing phone calls, responding to emails, and handling correspondence.
Maintain accurate records of patient information, test results, and other relevant data using electronic databases or paper-based systems.
Coordinate with laboratory staff to ensure timely processing of samples and test results.
Manage inventory of supplies and equipment, ensuring adequate stock levels are maintained.
Customer Service:
Serve as the primary point of contact for clients and patients, providing friendly and professional assistance both in person and over the phone.
Address inquiries, resolve complaints, and provide information regarding laboratory services, procedures, and policies.
Schedule appointments for sample collection and testing, ensuring accuracy and efficiency.
Follow up with clients to provide updates on test results and answer any questions or concerns.
Quality Assurance:
Assist in maintaining compliance with regulatory standards and quality assurance protocols.
Ensure that all documentation and procedures adhere to established guidelines and protocols.
Participate in quality control activities, including proficiency testing and equipment maintenance.
Collaboration:
Work closely with laboratory technicians, clinicians, and other administrative staff to ensure seamless coordination of services.
Communicate effectively with internal teams to relay client/patient needs and ensure timely resolution of issues.
Collaborate with management to identify areas for process improvement and implement solutions to enhance efficiency and customer satisfaction.
Qualifications:
High school diploma or equivalent; associate or bachelor's degree preferred.
Proven experience in administrative roles, preferably in a healthcare or laboratory setting.
Strong customer service skills with the ability to interact professionally with diverse clientele.
Excellent communication skills, both verbal and written.
Proficiency in using computer software for data entry, record-keeping, and communication.
Familiarity with medical terminology and laboratory procedures is a plus.
Ability to multitask, prioritize tasks, and work efficiently in a fast-paced environment.
Attention to detail and accuracy in data entry and record-keeping.
Willingness to adhere to strict confidentiality guidelines regarding patient information.
Working Conditions:
This position primarily operates in a clinical laboratory or medical office environment.
May require occasional lifting of light to moderate objects and prolonged periods of standing or sitting.
Flexibility in working hours may be necessary to accommodate peak testing times or urgent client needs.
