Job Summary:

The Office Manager will oversee the general administrative functions and activities and personnel in the office.

Supervisory Responsibilities:

· Oversees the daily work activities of the office.

· Oversee, train, assist, and provide guidance to office employees.

Duties/Responsibilities:

· Maintain company and project compliance.

· Contract management includes but is not limited to subcontractor, customer, project, VHLS snow removal.

· Accounts receivables, pricing management, including invoicing, ACH, month end tasks.

· Payroll preparation.

· Schedule and route irrigation and snow removal through utilization of VHLS software.

· Schedules maintenance of shop equipment including vehicle oil changes and repairs.

· Purchasing materials as requested.

· Supervise office staff and provide support when needed to assist office staff with assigned administrative duties such as answering phones, assisting customers, and preparing documents.

· Maintains customer and project files; implements an efficient system for other staff to access files and records.

· Drive equipment when needed.

· Take tools, supplies, parts and/or seed to jobsite. Drive employees to their destination if needed.

· Performs other related duties as assigned.

Required Skills/Abilities:

· Ability to type at least 60 words per minute.

· Extensive knowledge of office management procedures.

· Excellent verbal and written communication skills.

· Excellent interpersonal and customer service skills.

· Excellent organizational skills and attention to detail.

· Excellent time management skills with a proven ability to meet deadlines.

· Proficient with Microsoft Office Suite or related software.

· Ability to hold a valid driver’s license.

Education and Experience:

· High school diploma or equivalent required; associates degree in office administration or related field preferred.

· At least two or more years of management experience.

· At least 2-3 years of administrative experience.

Physical Requirements:

· Prolonged periods sitting at a desk and working on a computer.

· This position primarily operates in an office environment and routinely uses standard office and light duty cleaning equipment at efficient speed and for lengthy periods of time, requiring the ability to move files, open filing cabinets and push, pull, bend, crouch or stand as necessary. While performing the duties of this job, the employee is regularly required to stand, walk, sit, and talk or hear. The employee is occasionally required to reach with hands and arms and stoop, kneel, bend, or crawl. The employee must occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, and depth perception. This position will occasionally be required to work around moving mechanical parts and in outside conditions that include inclement weather, heat and humidity.

· This position must possess and maintain a current, valid Driver License.
