    DESCRIPTION OF BASIC FUNCTIONS AND RESPONSIBILITIES:
    The Student Services Coordinator coordinates a wide variety of specialized Student Services activities to increase student success and engagement. Activities include welcome events, academic achievement events, social activities, academic support services, program outreach and recruitment, and campus tours. Incumbents prepare and maintain office records, reports, and the area budget, and relieve assigned administrator of routine administrative tasks. Employees in this classification may coordinate the work and oversee outcomes of student assistants and other office support staff. This job class provides high level office support functions requiring the use of initiative and problem solving skills as well as independent judgment in the organization, coordination, and processing of work and information. This job class requires a thorough knowledge of District policies and procedures, and excellent communication skills.

    CLASSIFICATION: Range 33 on the current Classified Salary Schedule, 40 hours per week, 12 months per year. Work assignment hours are 8:00 a.m. to 5:00 p.m., Monday through Friday.

    Typical Duties, Knowledge and Ability
    Essential and Marginal function statements and other important responsibilities and duties may include, but are not limited to, the following:

    Essential Functions:
    • Exercises independent judgment within the scope of duties/projects as designated by the supervisor. Schedule and conduct outreach and recruitment functions for the District and for Student Services or academic programs in collaboration with counselors and staff members at local elementary, middle, and high schools, continuation and adult schools; work cooperatively with higher education institutions, organizations, agencies, and Shasta College extended education sites.
    • Coordinate with Marketing to produce outreach materials to aid in the development of sustainable recruitment practices into student services and academic programs.
    • Coordinate student services and academic program activity schedules. Maintain an up-to-date master calendar of events and activities, including webpages and other media platforms.
    • Coordinate and schedule tours of District campuses and program orientation activities; collect and record quantifiable data; and analyze, evaluate, and prepare reports on effectiveness of overall outreach functions.
    • Schedule, train, and oversee the work outcomes of student workers (e.g., tour guides, student mentors, and student ambassadors).
    • Maintain close working relationships with the local community and District staff to coordinate campus activities with other programs.
    • Performs office support duties to assist in the coordination and processing of administrative operations in the student services area as needed.
    • Coordinate a wide variety of specialized student activities including cultural awareness events and celebrations, global education activities, academic support services, academic achievement ceremonies, commencement, and outreach functions.
    • Maintain accurate and detailed calendar of events, due dates, and schedules for assigned program(s) and services.
    • Assist students in following departmental and District guidelines including parliamentary procedures; provide guidance on use of organization funds in adherence to Board policies.
    • Act as information source regarding operational policies, procedures, and requirements; receive and interview callers and provide information where judgment, knowledge, and interpretation of established procedures and policies is required.
    • Disseminate information related to Student Services programs; assists prospective students in completing program intake processes, ensuring all necessary information is received and maintained.
    • Plan and implement student recruitment and retention activities such as college nights, college and career fairs, and other student recruitment and retention activities.
    • Prepare a wide variety of materials such as interoffice communications, promotional materials, brochures, requisitions, forms, letters, reports, statistics, special projects, and specifications from rough draft or verbal instructions and independently compose correspondence.
    • Work with student leaders, staff, and faculty to plan, organize, promote, supervise, and evaluate student programs and events to meet the needs of students.
    • Provide support to Student Senate or other student-focused programs.
    • Receive, handle, and process confidential information maintaining security and strict rules of confidentiality.
    • Process purchase orders for student services or academic support service programs, including budgetary recordkeeping.
    • Keep computerized records of expenditures, maintaining and monitoring office and special programs, budget accounts, records, and running balances; perform necessary arithmetical computations.
    • Develop or assist in the development of forms, worksheets, and recordkeeping systems for the collection, dissemination, and maintenance of information for specialized programs and functions within assigned unit, utilizing specialized software applications to collect and report data.
    • Arrange, attend, and schedule meetings; notify participants, confirm dates and times, reserve meeting sites, and prepare materials.
    • Maintain awareness of academic programs and services to provide engaging recruitment presentations.
    • Receive, review, and verify documents, records, and forms for accuracy, completeness, and conformance to applicable rules, regulations, policies, and procedures.
    • Serve as a liaison between assigned office and other divisions/departments.
    • Prepare special reports and research issues as requested.
    • May interview, train, and coordinate the work outcomes of others.
    • Perform other related duties similar to the above in scope and function as required.
    Knowledge of:
    • Principles, practices, and applications of assigned Student Services or academic programs, supports, and services
    • Professional office operational procedures including document and electronic filing systems, composing business correspondence, receptionist techniques, report writing, telephone techniques, and email and other electronic communication methods.
    • Verbal and written communication skills and business English including proper grammar, punctuation, vocabulary, and spelling.
    • Computer software applications such as word processing programs, spreadsheet and databased programs, presentation platforms, desktop publishing, and web page maintenance.
    • Interpersonal communication skills demonstrating tact, patience, and courtesy.
    Ability to:
    • Communicate effectively, orally and in writing.
    • Develop and maintain effective professional relationships with a diverse staff, faculty, and student communities.
    • Train and oversee the work outcomes of others.
    • Coordinate and schedule tours of District campuses.
    • Learn District policies and procedures as applied to the assigned Student Services program(s).
    • Independently carry out technical and routine administrative procedures.
    • Understand and carry out oral and written instructions.
    • Prioritize, coordinate, and oversee workflow among support staff, including student workers.
    • Perform routine mathematical calculations accurately.
    • Establish and maintain a variety of records and filing systems and prepare reports.
    • Independently compose routine correspondence and reports.
    • Coordinate activities and maintain effective schedules of events.
    • Prioritize, schedule, and complete work within established timelines.
    • Work with and support diverse student activities and functions.
    • Provide guidance to student leaders.
    • Exercise sound judgment in working with students.
    • Compile and maintain the security of confidential information.
    • Operate standard office equipment, including copiers, computers, printers, and fax machines.
    • Establish and maintain cooperative and effective work relationships with individuals from diverse academic, socioeconomic, cultural, disability, and ethnic backgrounds.

    Experience/Education
    Education Required:
    • A.A. degree or equivalent combination of education, training, and experience.
    Education Preferred:
    • Bachelor's degree preferred
    Experience Required:
    • Four years of increasingly responsible work experience or equivalent combination of education, training, and experience.
    • Demonstrated sensitivity to, and understanding of, the diverse academic, socioeconomic, cultural, and ethnic backgrounds of staff and students.
