    JOB SUMMARY

    Supervises Student Academic Advisors who provide professional level academic advice to students. Provides technical assistance to subordinates on complex issues such as exceptions to policy, recommendations to change department policy, and precedent-setting actions. Participates with department management in the development and monitoring of policies and procedures for Student Academic Advising. May represent the student academic advising function on committees and other organization entities.

    Under the direction of the Assistant Dean, the Director of Student Services manages all Student Services functions in the Graduate Division (including supervision of 3 support staff), handles all institutional research for continuing students, and performs special projects for the Graduate Dean. Advises and assists faculty, administrative personnel, staff and graduate students in all graduate degree programs to resolve problems and understand the myriad of policies and procedures pertaining to higher degree requirements on this campus. Provides training and onboarding support for departmental advising staff. Investigates and reviews concerns presented from the Dean of the Graduate Division and/or the Graduate Council; provides analysis and solutions to the Graduate Division leadership and advises on the impact of various solutions. Prepares essential and timely reports and studies for the Graduate Dean; responds to inquiries from the Office of the President, the Council of Graduate Deans, the Executive Vice Chancellor, the College Deans, and others.

    JOB DUTIES

    40% - Graduate Student Services / Student Success
    • Supervise and manage all aspects of Graduate Student Services. Oversee resolution of all problems of graduate students associated with petitions of various kinds, complaints, leaves of absence, financial support, and employment as TA, GSR, or in other student titles. Oversee all degree progress activities for graduate students including advancement to candidacy, awarding of degrees, and commencement. Serve as back-up to Student Services staff, as needed. Advise Graduate Dean on all grievances, student dismissals, and plagiarism cases for the graduate population. Interact and coordinate with many offices (e.g. Registrar, Student Conduct, Financial Aid, Student Business Services) across campus to resolve student and other issues. Monitor enrollment of graduate students. Coordinate graduate student enrollment, readmission. Review student insufficient progress, determine dismissal and academic probation.
    • Develop long-range strategic planning, program development, and metrics to assess student success. Make recommendations to support student success, and collaborate with other campus units on Student Success initiatives. Initiate, develop, maintain, and provide oversight for programs and services that support graduate students in their academic pursuits, campus life, and civic and social responsibilities. In collaboration with Graduate Division staff, coordinate and publicize resources related to student success, basic needs, mental health, and well-being.

    20% - Policy Analysis and Reporting
    • Coordinate the development and monitoring of policies and procedures for Student Services operations, and recommend changes in policies and procedures. Maintain uniform and consistent application and interpretation of graduate student regulations, policies, procedures. Provide guidance and assistance to the most complex and/or precedent-setting issues. Maintain and coordinate updates to Graduate Handbook. Provide statistical data and analysis regarding graduate degrees awarded, numbers of students registered, time to degree, attrition rate, etc, as needed. Analyze requests and generate operational reports as requested by campus and other UC offices.

    20% - Lead Academic Advisor
    • Provide training and onboarding support to Student Academic Advisors who are providing the full range of academic advising to department students and service to department chairs / deans and faculty. Design and conduct workshops to train campus staff and faculty on use of systems relevant to graduate studies and graduate student policies and procedures. Manage and maintain internal "Current Student Services" website, which hosts resources for department staff.

    10% - Graduate Student Finances
    • Oversee and resolve issues pertaining to graduate student financial support. Track and monitor expenditures related to block allocation, external fellowships, and endowment accounts. Provide reporting and analysis on graduate student funding.

    5% - Supervision
    • Supervise Student Services support staff (2.75 FTE). Monitor and evaluate employee performance. Recommend employee selection and corrective action, if necessary.

    5% - Special Projects
    • Respond to ad hoc requests. Represent the Graduate Division on an assortment of campus committees. Assist with special assignments provided by the VPDGS in consultation with the Assistant Dean of Graduate Studies.


    REQUIRED QUALIFICATIONS
    • Bachelor's degree in related area and / or equivalent experience / training.
    • Excellent research and analytical skills sufficient to analyze information and highly complex and multi-faceted problems and situations, and suggest and implement action plans.
    • Demonstrated experience in setting clear goals and objectives.
    • Administrative experience, including budgeting and financial management.
    • Knowledge of advising and counseling techniques.
    • Knowledge of and experience in conflict management and intervention strategies; demonstrated effectiveness in mediation and conflict resolution.
    • Experience in group dynamics, facilitation, and training.
    • Excellent interpersonal and oral communication skills.
    • Writing skills sufficient to prepare correspondence, reports, and proposals with speed and efficiency.
    • Ability to work in a team situation effectively, cooperatively, and with flexibility.
    • Demonstrated ability to interact effectively, productively and sensitively with students, faculty, staff and parents/family/guardians per the standards and practices of the Family Educational Rights Privacy Act (FERPA) and other relevant policies and best practices.
    • Knowledge and experience in working with historically underrepresented ethnic minority communities, first generation college students.
    • Knowledge and experience in researching, compiling and analyzing data, and generating reports.
    • Demonstrated supervisory skills.


    PREFERRED QUALIFICATIONS
    • Knowledge of University and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences.
    • Knowledge of UC system-wide, Academic Senate and Graduate Council regulations regarding graduate academic affairs.
    • Experience working in AIS, Slate, Infoview, or other student information system within a higher education setting.
