Gift Processor

  • PRIMARY PURPOSE: The Gift Processor will batch and process gifts, pledges, payments, and planned gifts into the Raiser’s Edge CRM. The person filling this position will also take a leading role in the management of documentation and record keeping, ensuring compliance to donor intention. The gift processor must be able to multi-task and respond with great flexibility to frequently shifting priorities. They will also perform miscellaneous project work and other duties as assigned by the Assistant Director and Director of Advancement Operations.
    ESSENTIAL JOB FUNCTIONS: The Gift Processor will provide data entry support for all gifts and pledges received by the College. Responsibilities will include batching, data lookup, determination of correct fund and campaign and processing of all types of gifts and pledges. Checks lockbox daily for gifts and uses desktop deposit system for checks. Produces receipts for gifts and pledges received at the college. Processes credit card gift transactions in Raiser’s edge using Importomatic. Creates and track tribute records for gifts made in someone’s honor or in memory. Completes and submits matching gift forms in coordination with the Wheaton Fund Director; enters anticipated and received matching gift data into Raiser’s Edge database. Proofs daily data entry of gift and pledge information for accuracy, and posts gifts to the finance general ledger.
    Scans and distributes gift and pledge documentation daily in order to provide accurate and timely documentation for Gift Officers and Donor Relations in their acknowledgement processes. Provides guidance to fundraising staff on required gift and pledge documentation. Creates new Appeals and Funds in coordination with gift officers and Finance. Updates donor files and file monthly documentation as necessary. Assists Finance by providing needed financial, gift and pledge documentation for their meetings with our auditors. Provides a keen eye for editing various correspondence including capital and Wheaton Fund pledge reminder letters, IRA letters and gift receipts.
    Validates Gifts entered with Wells Fargo and Give Campus at the end of every reporting period and reconciles with Finance, prior to creation and distribution of monthly reports as well as calendar and fiscal year end. Reconciles Development’s and Controller’s monthly gift totals including periodic transfers of funds which require thorough documentation for auditing purposes.
    OTHER JOB FUNCTIONS: Provides support, as necessary, to other functions within Advancement Services including but not limited to Tech Support, Training, biographical data maintenance in Raiser’s Edge, creation of new constituent records, data entry projects and other unspecified projects as needed.

    Minimum Qualifications:
    REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
    • Knowledge of Microsoft suite, especially Excel, required.
    • Have the ability to effectively manage multiple projects from multiple people and respond with flexibility as priorities shift.
    • Be a self-starter who is well-organized, attentive to detail, and able to follow through to task completion.
    • Be familiar and comfortable with financial closing cycles and adherence to tight deadlines.
    • Be comfortable with numbers and able to assist in providing accurate and detailed accounting of gift and pledge data.
    • Be able to communicate clearly, both verbally and in writing, as well as edit written communications.
    • Be able to maintain confidentiality and discretion.

    When determining and establishing hiring rates or recruitment ranges for a position, the College considers a number of factors including the budget for the position, the range of the grade, the external market for the position or similar positions, level and scope of responsibilities, required education, skills and relevant experience as well as internal equity. All salary offers must have the prior approval of the Office of Human Resources.

    The starting hourly rate for this position is $22.00/hour.
