    Position: Director of Admissions
    Supervises: Admissions Counselors and Admissions Coordinators
    Schedule: Full-time, Exempt
    Location: Onsite in Provo, Utah


    POSITION SUMMARY
    Directs all administrative duties under supervision of the Assistant Dean of Admissions. Provides vision, leadership, and strategic direction for the department, collaborating with relevant internal and external partners as applicable to ensure the recruitment of a highly qualified, diverse, and inclusive group of applicants.

    RESPONSIBILITES
    Directs administrative duties for the Noorda-COM Admissions office.
    • Reports to the Assistant Dean of Admissions
    • Directs the day-to-day management of the admissions office (facilitating meetings, ensuring adherence to college policies, practices and protocols, preparation of annual reports and all other reporting requirements.)
    • Supports college enrollment goals of building academically vibrant, increasingly talented, and diverse incoming classes by actively recruiting, admitting, and matriculating students.
    • Upholds the integrity of the Noorda-COM admissions communications processes ensuring optimal effectiveness. Works with Admissions staff to ensure effective representation of the medical school throughout the community to meet enrollment management goals and objectives.
    • The director and counselors should be prepared to present information sessions, conduct student interviews, provide prospective and new students (and their support team) tours of campus, and host on-campus virtual programs. Connect students with community resources.
    • Responsible for overseeing admissions inquiries and application process, making sure phone calls and emails are professional and timely. Ensures appointments and informational interviews advocate for Noorda-COM. Document the admissions process for compliance.
    • Respond to inquiries regarding university policies and procedures requiring interpretation.
    Management of Employees Supervised
    • Collaborates with the Assistant Dean to build a team of admissions counselors and coordinators who facilitate a welcoming and enriching campus visitation program.
    • Oversees/manages direct reports (admissions counselors and admissions coordinators), defining/outlining roles and responsibilities, assigning tasks/projects, coordinating cohesive productivity, providing guidance toward optimal performance, clarifying/instructing on duties, deadlines, and expectations; reviewing/conducting performance evaluations.)
    • Assists with and serving as a resource for problem resolution (trouble-shooting problems, changing duties as demands dictate, delegating and/or re-distributing tasks/projects due to volume or extenuating circumstances, personnel issues administering "due process" protocols, crisis management, etc.)
    • Oversees personnel recordkeeping (vacation, holiday, sick time, etc.) monitoring activities, recording absences, directing the updating of files, etc.
    • Provide ongoing training to staff to foster personal professional development. Conduct training in excellent customer service and continuous quality improvement.
    • Establish and communicate accountabilities and performance expectations for Admissions office personnel, using institution tools.
    • Establish standards and serve as a role model for admissions counselors and coordinators for positive attitude, attendance, and work performance.
    • Provide information to the Assistant Dean on staffing needs and work performance assessments of Admissions office staff.
    Outreach and Noorda-COM Advocate.
    • Assists Assistant Dean of Admissions in his/her efforts to provide outreach and function as a visible advocate and spokesperson to premedical advisors and students at various colleges and universities, to ensure that they are updated on admissions standards and requirements to support the recruitments of a highly qualified group of applicants.
    • Helps the Assistant Dean with maintaining a positive relationship with key feeder schools (local and national) and their pre-med/health occupation leaders. Travel to feeder schools to promote Noorda-COM to pre-med/health leaders and potential students. Provide presentations to large and small groups.
    • Collaborates with relevant internal and external partners as applicable to ensure the recruitment of a highly qualified, diverse, and inclusive group of applicants.
    • Communicates, counsels, and advises (admissions requirements, AACOMAS process, cost of attendance, scholarships) applicants, faculty, alumni, and other interested parties throughout the admissions cycle concerning the application process.
    • Represents Noorda-COM and the Admissions Department as needed at local, regional, and national meetings, conferences, and events. Participates in career fairs, medical school recruiting fairs, etc. Attend Educating Leaders annual meeting and recruitment fair.
    • Serves as a representative on COMAO.
    • Within the scope of role as Director of Admissions, rigorously contributes to the defense of any claims made in the course of representing the College in any official capacity.
    Provides support to the Assistant Dean of Admissions in his/her role as strategic leader for student recruiting and admissions processes.
    • Upon request, actively contributes to comprehensive annual integrated recruiting plan (updating content {Intranet and external website, social media platforms, print and electronic materials}) consistent with the College strategic plan to maximize engagement with intended recruitment groups.
    • Sets Interviewer days and training objectives.
    • Ensures that Admissions Coordinators are maintaining accurate student application records.
    • Assists with the review of applications to prepare for Admissions Committee review.
    • Ensures accurate and timely communications to potential applicants and students.
    • Individually advises prospective student on admissions requirements, fit, and admissibility. Models best practices on how to provide guidance to prospective students throughout the admissions process. Trains Admissions Counselors on admissions best practices.
    • Serves as a liaison between applicants and the College: maintaining communication (phone, email and letters) with prospective applicants to encourage and support completion of the application process.
    • Collects AACOMAS application materials, secondary application documents and interviewer/ambassador feedback for review by the Admissions Committee.
    • Ensures that Admissions Coordinators prepare accepted student packets on-time and with welcoming communication.
    • Assists in all accreditation and regulatory processes.
    • Engage in professional development to keep abreast of current issues related to admissions. Stau up to date with industry trends and best practices.
    Assists in the development and implementation of pre-matriculation programs.
    • Assists with building collaborative partnership opportunities across and among various entities participating in networking opportunities, other colleges and universities, hospitals, local organizations, societies, promoting relationships with the College.
    • Helps recruit/track/advise pre-matriculation program students as they transition to Noorda-COM applicants.
    • Prepares and maintain recruiting territory map. Develop recruiting travel schedule. Assess effectiveness of recruiting visits and improve the recruiting approach as needed.
    • Actively informs college leaders of admissions milestones, unique student stories, etc. for use in Noorda-COM media coverage and marketing materials.
    • Develops admissions calendar.
    • Collaborates with college leaders to plan, organize, and execute Interview days. Recruit and retain a positive relationship with interviewers. Communicate interview day needs to campus units. Provide recognition for and solicit feedback from interviewers at the end of each recruitment cycle.
    • Contributes to the College's reputation/image of being one of the best osteopathic medical colleges.
    • Is knowledgeable of and remains in compliance with all institutional policies and procedures as outlined in the Employee Handbook for Noorda-COM College.
    Marketing and Communications
    • Assist the Assistant Dean of Admissions in creating effective recruiting tools, including print, web, and social media content.
    • Uses college resources prudently and effectively to procure, store, and distribute Noorda-COM marketing and promotional materials.
    • Collaborates with the Institutional Advancement team, Associate Dean for Student Affairs, Academic Dean and President, to develop professional and promotional communication templates for use by Admissions Counselors and Admissions Coordinators.
    • Collaborates with the Assistant Dean of Admissions and other college leaders to identify new markets for student applicants.
    • Uses professional communication tools to maintain contact with students throughout the recruitment process and even after acceptance, to ensure they enjoy a successful, smooth beginning to their academic careers at Noorda-COM.

    QUALIFICATIONS
    Education:
    • A minimum of a bachelor’s degree in a related area is required.
    • Professional certification(s), advanced degrees in Student Affairs, Higher Education, Educational Leadership, Business Administration or related field preferred.
    Experience:
    • Minimum of 3 years’ experience working in admissions in a higher education setting, medical school experience preferred.
    • Demonstrated effectiveness, knowledge, and experience in student admissions and administration.

    Skills & Abilities:
    • Highly professional individual with honest, genuine, direct communication style.
    • Excellent interpersonal skills and emotional maturity with the essential ability to demonstrate tact, discretion and job diplomacy.
    • Significant understanding of higher education administration with proven knowledge of budget, fiscal management and experience including working and building relationships with high-level community leaders, government officials, and others.
    • Proven track record of quality, integrity and trustworthiness.
    • Ability to make common sense, consistent and fair decisions (based on fact and data) and have courage of convictions and tolerance for ambiguity.
    Must be:
