    POSITION SUMMARY: Actual title is "Educational Services Specialist". Under the direction of the Deans of Professional Programs and Liberal Arts, the Educational Services Specialist is the primary administrative support to these and other administrative personnel within the offices at the Quincy campus. The Educational Services Specialist also serves as the primary administrative contact with Adjunct Instructors, assists with the oversight of special course sessions, manages and organizes processes related to the hiring of Adjunct Instructors, textbook selection, and budget development, and works collaboratively with the Deans of Professional Programs and Liberal Arts in the daily operational management of academic programs.

    ESSENTIAL FUNCTIONS:

    • Assist with the hiring of adjunct faculty through scheduling of appointments, follow-up correspondences, maintaining files, preparation and processing of contracts and payroll authorizations, and other duties as appropriate;
    • Assist with related purchasing and payment processing; communicate to the College community event details as assigned; and all related support duties as directed by the Dean of Professional Programs and Liberal Arts;
    • Assist the Dean of Professional Programs and Liberal Arts in the running and management of College-wide events, including on-site assistance;
    • Maintain an up to date faculty database, keep current files for course materials in liberal arts and, business and Human Services and computer science criminal justices and education programs, collect and maintain files for course syllabi, assessments, and related material;
    • Oversee the textbook adoption process serving as the liaison with publishers and the college bookstore, order course texts, and distribute texts to faculty;
    • Assist deans with adjunct faculty handbook updates and oversee handbook distribution at the beginning of each semester;
    • Assists with the development of academic schedules;
    • Serve as the primary contact person for adjunct faculty at the Quincy Campus;
    • Collect and maintain current and past course curriculum materials and provide dean and faculty with resources that support curriculum development;
    • Assist the Dean of Professional Programs and Liberal Arts in organizing and preparing the annual budget for each program area;
    • Assist the Dean of Professional Programs and Liberal Arts with the ordering and monitoring of instructional supplies;
    • Respond to faculty, student, and public inquiries accurately, promptly, and courteously.
    • Maintain thorough familiarity with College programs and course offerings, schedules, policies, procedures, regulations, and practices.
    • Participate in mandatory training/coursework. Including but not limited to:

    Title IX and Sexual Misconduct
    Sexual Harassment and Non-Discrimination
    Security Policy and Notification of Security Reporting
    FERPA
    Municipal Ethics Law

    • Assumes other duties as assigned.

    Job Requirements:


    EDUCATIONAL EXPERIENCE: Bachelor's Degree required; Master's degree preferred.

    EXPERIENCE REQUIREMENTS:

    • Two (2) or more years relevant experience preferred.
    • Experience in higher education setting required.

    SUPERVISORY RESPONSIBILITIES: N/A.

    TRAVEL: Occasional local travel including to all campuses including those in Quincy and Plymouth as well as the Boston site may be required
