Job Summary:

As an administrative assistant, you’ll embody this approach by assisting your team and serving as a main point of contact for vendors.
Duties/Responsibilities:
- Work directly with Project Managers (PM), Engineers (PE) and Superintendents in the administration of construction projects.
- Create job numbers and set up new projects in the project management software (PMS). Set up new folder structure in the active projects file structure.
- Interface project estimates with the PMS and accounting.
- Work with PM’s and accounting in the administration and upkeep of project budgets throughout the project lifecycle.• Assist the PM/PE in creating subcontract and vendor agreements and change orders. Distribute agreements, receive and distribute executed copies, manage insurance requirements and compliance.
- Assist the PM/PE in the creation of Prime Contract Agreements.
- Distribute agreement, receive and distribute executed copies, order and transmit required insurance certifications, order and transmit bonds when required.
- Assist subcontractors and vendors with using the Hutton portal system, setting up schedule of values/billings/submittals.
- Accounts payable. Receive, process and import invoices/billings from subcontractors and vendors into the system.
- Assist the PM/PE in the processing of submittals and distribution of project documents.
- Notarize documents when needed.• Management of the monthly billing cycle; includes completing budget changes, creating monthly payment applications and project status reports.
- Manage and maintain project specific requirements such as prevailing wage/certified payrolls and/or other reporting requirements.
- Manage project closeout including acquiring subcontractor and vendor lien waivers, warranties and creation of the Owner’s Operations and Maintenance Manual.
- Send out W-9’s to vendors as needed and set them up in the Vendor database.
- Scan and upload documents from the field.
- Maintain files and vault filing.
- Mange and process monthly WEX (fuel) reports.
- Maintain and ensure completion of project information sheets.
- Maintain and ensure completion of project closeout form.
- Review work orders weekly and send invoices after work is complete.
- Complete any other tasks assigned by the team lead.
- Assist Area Leader with administrative tasks required for the area office as required. Satellite Offices Only.
- Serve as the face of the Hutton brand, welcoming guests, determining the purpose of their visit and escorting them to their destination. Ensure each guest feels comfortable by offering them a beverage, pointing out the restroom and any other needs.
- Reception duties will be shared between administrators if more than one is employed in the area office.
- Operate telephone switchboard to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments.
- Accept and distribute deliveries.
- Open and distribute daily mail.
- File and maintain records.
- Supply prospective team members with the Hutton URL in order to apply online.
- Conduct new hire orientation when the team member is unable to commute to the main office.
Required Knowledge/Skills/Abilities:
- Intermediate computer skills including Microsoft Office Suite (Word, Excel, PowerPoint) and Viewpoint.
- Service-rooted attitude, providing assistance to others when needed.
- Superior organizational and analytical skills with keen attention to detail and quality.
- Ability to communicate effectively both verbally and written with others inside and outside of the organization.
- Ability to comply with instructions, procedures, standards, and policies using professional discretion.
- Excellent time management skills, good judgement, problem solving, and analytical abilities.
- Ability to work independently as well as collaboratively within a team environment.
- Self-starter, detail-oriented, organized and have the ability to work effectively with minimal supervision.

Education and Experience:
- High school diploma or GED required.
- Associates degree or at least four years of related experience preferred.
Environment:
Hours of operation are Monday-Friday from 8:00am to 5:00pm with a one-hour lunch break.
