    Project/Position Overview:

    HUD holds the mission of creating strong, sustainable, inclusive communities and quality affordable homes for all.  The mission of HUD entails working to strengthen the housing market to bolster the economy and protect consumers, meet the need for quality affordable rental homes, utilize housing as a platform for improving quality of life, build inclusive and sustainable communities free from discrimination and transform the way HUD does business.

    The Project Assistant will support the Project Manager in scheduling inspections, tracking inspections, communications with inspectors, invoices, attending meetings, documentation, and other duties to ensure the deliverables of the HUD project are being met.

    Responsibilities and Duties:

    • Receive calls and maintain correspondence with inspectors.
    • Respond to inquiries and requests independently and makes appropriate referrals
    • Prioritizes and ensures follow-up on inquiries, requests, and referrals; assures that all communication is handled sensitively given the nature of the work.
    • Quality check, verify, and process inspector travel invoices for accounting accuracy. 
    • Develop, recommend, and implement office and operational procedures
    • Ensure that all tasks are meeting deadlines.
    • Organize and maintain records and files pertaining to inspections and inspectors
    • Compile and organize information and materials for meetings and decision-making
    • Ensure the confidentiality and integrity of information
    • Ensure that all files and records are well organized so that all parties may easily access information.
    • Use HUD’s scheduling system to schedule inspections.
    • Track and maintain assigned inspections using PSI tracking system.
    • Attend and document meetings.

    Required Education, Knowledge, and Skills:

    • Minimum of five years of administrative or office management experience; preferably within a professional services firm or similar environment.
    • Written and verbal communication, problem-solving, and conflict resolution skills
    • Proficiency in Microsoft Office Suite applications, including Word, Excel, PowerPoint, and Outlook at the advanced level.
    • Maintain a valid driver's license.
    • Qualified applicants must be able to pass a background check.
    • Excellent written and verbal communication skills.
    • Experience in a wide range of customer service.
    • Ability to multi-task and prioritize in a fast-paced work environment.
    • Proven attention to detail and accuracy in documenting and reviewing.
