Regional Property Operations Manager manages the day-to-day operations for a property or portfolio of properties. Responsible for coordinating routine and emergency maintenance, selecting and managing contractors, and leading property improvement projects. Being a Regional Property Operations Manager develops financial and business plans for profitable property ownership. Oversees budgets, lease administration, and tenant service delivery. Additionally, Regional Property Operations Manager may initiate or assist with the buying and selling properties in the portfolio. Requires a bachelor's degree. Typically reports to senior management. The Regional Property Operations Manager typically manages through subordinate managers and professionals in larger groups of moderate complexity. Provides input to strategic decisions that affect the functional area of responsibility. May give input into developing the budget. To be a Regional Property Operations Manager typically requires 3+ years of managerial experience.   • Position Purpose

    To be the leader of the property, accountable for oversight of all maintenance and operations of the property, or properties. To cultivate and direct a well-rounded team, ensuring that the property(s) is maintained always in good physical condition with stable fiscal operations, abiding by all federal, state, and local regulations, and providing excellent customer service to every resident and prospect.

    Responsibilities and Duties

    • MARKETING / LEASING
      • Direct all aspects of marketing the portfolio, ensuring that curb appeal is well maintained and attractive at all times.
      • Have a complete understanding of local competition; be able to recommend market pricing accordingly, and features that make your property(s) stand out above the rest.
      • Oversee the leasing process for apartments, including review of applications as necessary. Ensure that all applicable forms are completed and signed, and all application documentation is collected and saved accordingly.
      • Countersign all leases for prospects in a timely manner, confirming that all information in the lease is accurate and without error.
         
    • RESIDENT RETENTION
      • Review renewals and make renewal proposals timely and accurately.
      • Ensure that residents are provided with a clean, safe, well-maintained property.
      • Monitor outstanding service requests; work closely with maintenance to resolve maintenance requests within 24 hours, keeping residents updated on any progress and aware of any unavoidable delays.
         
    • FISCAL OPERATION
      • Approve expenditures, code and process invoices for payment.
      • Supervise outside contractors working on the property(s) and inspect work prior to invoice approval.
      • Review and approve electronic payroll records, and adhere to payroll policies and due dates.
      • Assist in preparation of annual budget and work within the established budget.
      • Inspect property and improvements continually, recording deficiencies and taking the necessary action to make repairs, within budgetary allocations, or with prior approval as necessary.
         
    • GENERAL / ADMINISTRATIVE DUTIES
      • Maintain courteous and continuous communication with employees, residents, prospects, and vendors.
      • Prepare management reports on a timely basis, whenever required.
      • Report accident and emergency situations to corporate immediately and prepare the proper reports.
      • Hire and train staff to perform the duties necessary for smooth operation of portfolio.
      • Supervise and train all staff to ensure 100% compliance with fair housing regulations.
      • Oversee staff to ensure speedy and quality unit turns.
      • Supervise and coach employees in accordance with the company’s philosophy and federal, state, and local guidelines.
      • Adhere to all company policies as outlined in Cove Property Management handbook.
      • Establish schedules and assign personnel for routine maintenance and routine or overtime/emergency coverage.
      • Perform all other duties as assigned.

     Job Requirements

    • 5 years of experience in the property management industry
    • Bachelor’s degree or CPM® designation preferred
    • A track record of success building, developing, and maintaining high performing teams
    • Strong financial skills, including experience managing budgets and financial reports
    • Outstanding communication skills
    • Proficiency with Microsoft Outlook, Microsoft Excel, Microsoft Word and Yardi a plus
