- Bachelor's degree from an accredited institution or a minimum of five years' experience with Banner 9 Student Modules in a University Registrar's Office.
- Comprehensive knowledge of departmental and university academic policies and procedures.
- Excellent organizational, problem solving, and decision-making skills.
- Strong oral, written, and communication skills.
- Assisting Registrar with the management and supervision of the Records Division
- Supervising, coordinating, resolving student record errors to include, but not limited to, incorrect GPA,degrees, majors, minors, concentrations, departments, etc.
- Coordinating, updating catalogs and validating degree catalogs
- Validating students' data prior to generation of academic transcripts
- Data entry of change of majors and concentrations
- Management of approved academic program information (majors, minor, concentrations, IPEDS/CIP codes, college, degree designations, degree levels, departments, etc.) on STVMAJR, SOACURR, SOACTRL, SMARPLE tables and forms
- Processing and resolving errors and making adjustments to academic records for cancellations, resignations, probations, suspensions, reinstatements, grade changes; and determining admit status of readmit students and transfer students admitted with a grade point average below 2.0
- Supervising the coordination of eligibility for academic bankruptcy; processing approved academic bankruptcy petitions
- Supervising cancellation processes for students who owe a previous balance of over $200.00
- Supervising the program for unmet prerequisites; dropping courses for students who no longer meet class restrictions; and running Argos and Degree Works degree audit reports to finalize the clean-up processes for unmet prerequisites
- Marking repeats via SHRRPTS at the end of the semester; and using Argos reports to mark repeats on a weekly basis for all currently enrolled students
- Processing RCGC approved registration adjustment requests and preparing Student Account Adjustment Worksheets
- Processing academic reinstatements; sending notification of suspension and probation to UG students
- Roll student types on SHRTYPE and update re-admit term on SOATERM (as needed)
- Processing of name and social security number changes
- Residency determination and management; processing residency re-classification
- Supervising online and batch transcript production processes and services
- Coordinating, maintaining, and processing requests in the Purchasing System; preparation of office budget and purchase requisitions
- Processing and reversing charges for late payments, installments, and late registration. etc.
- Processing grade changes; and posting final grades for activated reservist/guardsmen, ArmylgnitED, Air Force (Al) Portal, Navy, and other projects; changing "I" grades to F's after 60-day time period and 60-day extension
- Supervise and when needed, run the National Student Clearinghouse scripts & reports, validating & correcting enrollment discrepancies, and transmitting FTP files to the National Student Clearinghouse
- Supervise and when needed, run job submission programs for expected graduation dates, Argos reports, and to remove E-Term records for students to clean-up data before the transmitting of data to the NSC
- Supervision and annual planning and rating sessions of supervised staff; approve leave and payroll submission of supervised staff
- Conducting monthly (more frequent ifneeded) professional development meetings with supervised staff
- Coordinating, updating, and maintaining the Policy and Procedures Manual for Records Division
- Coordinate Assessment processes for the Records Division; compile and report department assessment data to the University Assessment Committee
