    Dean College invites applications for the position of Assistant Registrar within the Office of the Registrar. The Office of the Registrar works behind the scenes to find and produce ways to improve the student, faculty, and staff experience at Dean College.


    The Assistant Registrar is primarily responsible for maintaining academic and curriculum information for all enrolled students. In addition, the Assistant Registrar is familiar with the software applications the College maintains to evaluate transfer credit, build the semester course schedule, provide enrollment reporting on a regular basis in compliance with state, local and national agencies, and produce reports to assist with managing daily activities. This position works closely with the Registrar and shares many operational functions with the other members of the office (examples: academic major changes, graduation audits, grade changes, transcript production). As a partner with other campus departments, the Assistant Registrar works collaboratively with Academic Affairs, Admissions, Student Financial Services, and Success and Career Advisors to maintain accurate and reliable student records.


    Job Duties:

    • Oversee the evaluation of external credit for incoming and matriculated students. Enter and verify transfer credit and test scores.
    • Maintain a database of standard transfer equivalencies. Consult with School Deans on appropriate credit equivalencies.
    • Develop semester course schedule - work with School Deans, program coordinators and advisors to ensure the accuracy of the course schedule, analyzing and providing data to determine course needs. Assess classroom space, determine needs and where changes can be made as well as making classroom assignments.
    • Maintain Degree Audit system that provides academic information for current students.
    • Submit regular compliance reports including enrollment reports and graduation information to National Student Clearinghouse, certify enrollment for students receiving VA benefits.
    • Work with Admissions, Advising Center, Student Financial Services to monitor student information for data integrity and accuracy of records. Ensures compliance with federal regulations, particularly FERPA and enrollment reporting.
    • Conduct annual reviews of forms and procedures to improve efficiency and accuracy in office operations. Develop new office procedures as needed.
    • Other related duties and projects as assigned.


    Job Requirements:

    • Bachelor's degree required; Master's degree preferred.
    • Three to five years' experience working in a higher education environment or similar field.
    • Familiarity with Ellucian Colleague or comparable ERP system, as well as eTranscript providers is preferred.
    • Knowledge of U.S. educational systems, credentials, and Family Education Rights and Privacy (FERPA)
    • The successful candidate is very detail-oriented with strong communication skills; able to manage multiple projects efficiently; demonstrate proficiency in Microsoft Office, specifically Excel and Word. Must be able to work with minimum supervision; and have demonstrated analytical, organizational, and customer service skills.
