Position: Assistant Registrar
Reports to: Gary Oyler
We are looking for an Assistant Registrar to join our team! This position shares duties with our other Assistant Registrar. They will process transfer credit requests from new and current students, assist with graduation degree audits, and maintain student academic files. They will process all requests for Student Demographic Records, Transcripts, and Enrollment Verifications, working with students to ensure their needs are met. Additionally, the Assistant Registrars will assist with Diploma printing, mailing, and purchase orders. Lastly, they will assist the Registrar in the creation and management of a new digital records retention policy, and a digital system for policy processing and documentation.
This is a non-exempt, part-time position (up to 29 hours per week) and reports directly to the Registrar. This position is In-Person and must report to the campus in performance of their regular duties.
Essential Functions/Goals
Process all incoming transfer credit requests/questions for both new and currently matriculated students.
Work with Associate Registrar to manage degree audit in Colleague.
Work with Associate Registrar to manage semester Census and Grade collection and processing
Work with Registrar to manage the Institutional Policy Change/Approval process.
Works within Ellucian Colleague to complete daily duties and to assist other OOR staff as necessary.
Maintains student confidential files (adding/deleting documents and organizing) within FERPA standards.
Provides timely responses for records requests (Transcripts, Enrollment Verification, Demographics, etc.).
Assists Associate Registrars with proper dissemination of Diplomas and related materials.
Works with Accounting and Registrar to manage all aspects of OOR inventory and purchasing.
Works directly with students daily, in support of their various needs/requests.
Qualifications / Competencies
Education: Bachelors Degree Preferred
At least one-year experience in a Registrar Office or related setting preferred
Skilled in use of Microsoft Office
Excellent written and verbal communication skills
Experience working with Ellucian Colleague is a plus
Ability to identify problems and provide optimal solutions based on weighing options
Ability to evaluate the effectiveness and efficiency of solutions and identify needed improvements
Ability to adapt to changing priorities
Applies the highest standards for accuracy and quality for their work
Initiates collaboration with others and displays a positive attitude in the face of ambiguity and change
Able to work both individually and in a team setting
Wage:
$25.00 per hour
Working Conditions:
The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling; some stooping, kneeling, and/or crouching; and fine finger dexterity. May need to lift up to 25 lbs. Generally, the job requires 80% sitting, 10% walking, and 10% standing.
