JOB SUMMARY:
This position is responsible for the creation, planning and execution of strategic, data-driven, branded and mission-focused events for external audiences. The Events Manager will work collaboratively across all departments to ensure superior constituent experiences that best represent Trident United Way. This position plans, manages, directs, coordinates and assists with all logistical aspects of social and business special event functions throughout the organization. Event list includes but not limited to donor receptions and other donor stewardship/prospecting events, fundraising events, Executive Briefings, Community Impact partner convenings, advocacy events and all other events involving external partners.
ESSENTIAL FUNCTIONS:
- Communication and Interpersonal Skills:
- Work collaboratively with leadership to determine event objective and goals.
- Coordinate with Communications team and freelance designers to develop event-related digital and print materials, including but not limited to invitations, scripts, presentations, posters, programs, etc.
- Coordinate with Communications team to develop marketing and communications plan to promote event and manage sponsor recognition at event.
- Coordinate with all necessary departments to ensure appropriate follow-up, acknowledgements and reporting is completed.
- Planning and Logistics:
- Based on event audience objective, scout and secure event venue.
- Document strategic event plan for each major event and build out the steps and stages using internal project management tools.
- Secure and manage all vendors for events (caterers, bartenders, musicians, photographers, A/V, equipment rental, etc.)
- Leader of attendee/presenter coordination – manage RSVPs, nametags, communications with VIPs, speakers and more. Ensure event data including communications and attendance details are tracked in ANDAR>
- Leader for creating event run-of-show, secure presenters/special guests, plan for and manage A/V.
- Manage events on-site including set-up, dismantle and serve as staff liaison for all vendors and staff on-site.
- Ensure Event Assistants and supporting staff are aware of assigned roles.
- Manage and plan for potential problems that may arise before/during/after that could impact the integrity of the event.
- Budgeting:
- Collaborate with Finance to develop and manage event budgets (expenses and revenue) to achieve maximum stewardship of dollars.
- Negotiate with suppliers and vendors to secure the best value for goods and services to be purchased.
- Coordinate with the Finance Department to create reliable financial reports, review and approve accounts payable invoices and secure supplemental insurance policy for select events.
- Collaborate with Advancement team to develop sponsorship packages.
- Multi-Tasking:
- Coordinate, manage and execute several events simultaneously, set priorities, identify and address challenges while maintaining superior quality.
- Must be able to prioritize and manage heavy workload in a fast-paced work environment.
ADDITIONAL RESPONSIBILITIES:
- Function as an integral member of the Communications and Volunteer Engagement team leading efforts for event planning, solicitation of vendors, implementation and evaluation.
Work with and effectively manage senior level staff, high-profile donors and steering committee volunteers.
Regularly participate in ANDAR Database training opportunities as appropriate for position.
Bring constituent feedback to the organization and provide constructive feedback for future events.
- Participate in all TUW events and activities demonstrating the ability to be a good colleague, proactive collaborator and team builder.
- Participates as a champion, project lead, and/or member of organizational development teams as required.
- Become familiar with and maintain a thorough working knowledge of Trident United Way’s mission, values, programs and services.
- Work outside normal office hours when required to include evenings or weekends and additional hours during peak times.
QUALIFICATIONS:
Education:
- Minimum associate degree with 5 years relevant experience; bachelor’s degree preferred
Experience:
- 3-5 years of events management or nonprofit experience
Skills:
- Excellent oral and written communication skills
- Event Planning Certification preferred.
- Preferred knowledge of Adobe Creative Suite (InDesign, Photoshop, Illustrator)
- Preferred knowledge of workflow/ planning software (Basecamp, Monday.com, Asana or similar tools)
- Experience with ticket sales platforms (GivePulse, Eventbrite or similar tools)
- Detail-oriented, deadline-driven self-starter with strong customer service and organizational skills.
- Has an eye for design and aesthetics to produce excellent experiences.
- Excellent interpersonal skills: ability to work with diverse audiences.
- Creative thinking and problem-solving skills
- Proficient in Microsoft Office with good general computer skills
PHYSICAL DEMANDS OF JOB:
- Physical demands include sitting or standing for extended periods of time, bending, lifting items weighing up to approximately 30 lbs., regularly move throughout the building between floors, traveling to outside meetings. Worker communicates with constituents, clients, and/or partners by phone and in person.
- Worker must frequently use typical office equipment (telephone, copier, printer, fax, etc.).
- Reliable vehicle and a valid driver’s license are required.
WORK ENVIRONMENT:
- This is a hybrid position. Primarily works in a climate-controlled office-based setting. The opportunity to work remotely two days a week is available.
