Seacoast Mental Health Center, Inc. has an opening for an Executive Assistant to provide administrative support for the Chief Executive Officer, VP Finance & Administration, VP Human Resources, and VP of Community Relations, including, but are not limited to: typing of correspondence/e-mail/meeting minutes, report preparation, data entry, filing and scheduling of individual, group, and Board meetings. Acts as Board Liaison for the Center. Attends all Board and Board Committee meetings, manages the schedule, board listing, types and distributes meeting agendas and minutes, maintenance of by-laws, Resource Group Activity, etc. Coordinates meetings and staff functions for the Center. Responsible for maintaining various reports, forms and manuals, including: administrative Manual, annual tax exempt paperwork for Greenland, Exeter and Portsmouth, Certificates of Good Standing, etc.
The Executive Assistant assists with new hire procedures, including organizing employee orientation with correspondence to new hires, set up in payroll system submission and monitoring of background checks, and processing of paperwork after orientation. The Executive Assistant is back-up to the VP Human Resources for employee orientation. Maintains employee personnel files and personnel roster. Notifies staff of personnel changes as they occur.
Act as contact point for Bureau of Mental Health Services and Children’s Mental Health Services (Directors’ Offices). Provides VP Finance & Administration with administrative support for Budget preparation. Coordinates Office Supply purchasing for the Center.
Must be proficient in all Microsoft Office platforms including Word, PowerPoint and Excel, including the ability to create mail merge files, pivot tables and other functions as necessary. Must be proficient in the use of Zoom and Teams.
