  • Position Summary:

    The Human Resources Generalist/Executive Assistant in Denver provides excellent customer service to internal and external customers while focusing on payroll processing, benefit administration, and coordinating company policies and practices. Additional support of the daily responsibilities of the Human Resources department includes but is not limited to: Leave administration, recruitment and onboarding, personnel issue resolution, training and development, IDEA (inclusion, diversity, equity and accessibility), talent management, HRIS administration, and HR administrative duties. In the Executive Assistant role, they will provide general administration and support within, but not limited to, the following departments within the Colorado Health Network: Human Resources, Accounting/Finance, and the Executive Team. The position requires a friendly, professional attitude and appearance. The ability to think critically and use active listening are paramount to the success of this position.

    Essential Job Functions

    Payroll Processing

    • Ensures timeliness and thoroughness of payroll processing in coordination with the Chief People Officer and the Chief Financial Officer
    • Reviews employee time cards no less than bi-weekly to ensure accuracy, making necessary adjustments for holiday pay, paid leave, and other non-production timesheet entries while ensuring that other time allocations are calculated and distributed per agency policy
    • Completes payroll processing in coordination with the online payroll processing system, per agency policies as necessary
    • Responds to employee inquiries in a timely manner regarding payroll information; investigates employee payroll concerns
    • Communicates with agency managers to ensure the integrity of the payroll data including data related to new hires, terminations, transfers and rate changes; makes updates as necessary
    • Adjusts timecard entries as necessary to reflect proper pay code and time allocations
    • Makes payroll calculations and entries including garnishments, other deductions, retro pay and final pay, as applicable
    • Researches and resolves questions from managers and employees as they relate to the processing of payroll information such as PTO, FMLA, garnishments, employment verifications, workers compensations, retroactive pay calculations, tax questions, and other changes
    • Supports leave administration responsibilities including calculating pay, deductions, and general communication and administration of plans

    Benefits Administration

    • Participates in benefit renewal meetings and assists with annual employee open enrollment including collecting forms, verifying elections, and auditing
    • Administers various employee benefit programs, including medical, dental, and vision insurance, group life, 403(b), short term and long term disability, flexible spending accounts, and health spending accounts
    • Verifies the calculation of the monthly premium rates for all group insurance policies and maintains statistical data relative to premiums, claims, and costs
    • Conducts monthly audits of payroll and benefit records to ensure correct enrollment and deductions

    Administrative and HR Support

    • Assistance with HR administrative functions including but not limited to recruitment and onboarding, , talent management, training and development.
    • Volunteer and intern coordination and onboarding.
    • Support of all Inclusivity, Diversity, Equity and Accessibility (IDEA) programs
    • Maintains employee records and files in compliance with human resources law, best practice, and company policies
    • Maintains contractual records and files in compliance with organizational policies including governmental and private contractual awards, MOUs, rental agreements and other organizational contracts
    • Routinely assesses CHN’s organizational filing systems for compliance with organizational policy
    • Maintains computer systems including HR and finance by updating and entering data in accordance with company policies
    • Schedules appointments and makes arrangements for board, staff and management meetings
    • Takes and distributes notes of meetings as requested by management staff
    • Makes travel arrangements for organizational staff as needed
    • Provides back up for the organizations front desk staff as needed
    • Ensures the completion of pre-employment/ volunteer background checks and reference checks
    • Orders employee business cards and nametags
    • Maintains active employee directories including but not limited to: employee photo directory, current employee phone extension lists, organizational chart, current birthday and anniversary lists
    • Assists the Chief People Officer in tracking HR data related to employee retention and other HR-related metrics
    • Prepares reports as requested by the Chief People Officer and the Executive Management Team
    • Orders office supplies for the Denver Office

    Required Qualifications:

    • 1-3 years of experience in Human Resources or 1-3 years as a hiring manager or customer service lead role.
    • Excellent interpersonal skills.
    • Professionalverbal and written communication skills.
    • Aptitude for problem solving, critical thinking, and active listening.
    • Workflow agility with the ability to manage and execute multiple projects with and without direct supervision.
    • Ability to adhere to HIPAA and employee privacy and confidentiality expectations.

    Education

    • Bachelor’s Degree in HR Management or a related field; or equivalent combination of education & experience.
    • Certified Professional in Human Resources (PHR) or Certified Senior Professional in Human Resources (SPHR), preferred

    Software Utilized:

    Experience with web-based HRIS and/or payroll processing applications; experience working with basic office and database computer programs, including familiarity with Microsoft Outlook, Word, Excel and the internet.

    Knowledge, Skill and Ability:

    Understanding of HR Laws and business-related laws. Knowledge of payroll cycle/processing. Cultural Competency/Sensitivity skills. Excellent communication, client relations and management skills. Highly organized and detail oriented. This position requires personal and professional accountability; self-management and initiative; dedication to quality improvement, professional integrity and research ethics and cultural competency. Must demonstrate accuracy, efficiency and excellent organizational skills. Must demonstrate effectiveness in the following areas: task management; teamwork; time management; and communication with teams, managers, clients, and company consultants.
