    The Executive Assistant provides administrative support to the Owner/Company President of Multi Businesses.
    This role will need to be forward thinking, a creative problem solver and anticipate needs of the customers. They must be able to function effectively in a fast-paced, high-energy environment and have the willingness to learn and understand the business operations. Ideal candidates would have a passion for marketing, relationship building with health practitioners, and have excellent interpersonal skills. This individual will ensure that the owner is prepared with all materials and information for meetings, events and travel. They will also compile materials for reports and support meeting . Additionally, they need to have highly functioning calendar skills and will be responsible for managing dynamic/evolving calendars fully, acting as a gatekeeper to ensure efficiencies in the flow of the day. They may also assist with other department-specific projects as needed.
    • Travel & Expense Management
    • Responsible planning inclusive of booking travel accommodations, arranging ground transportation, creating/managing agendas, and making reservations for conventions and team dinners.
    • Work collaboratively with other Executives Assistants and/or Physicians to coordinate travel
    • Calendar Maintenance
    • Manage calendar for Company President, including organizing and planning the daily schedule
    • Responsible for setting up team meetings, scheduling conference rooms, coordinating lunch for staff ensuring that diet restrictions are considered for doctors Staff.
    • Responsible for assisting with printing all documents/pre-reads, including preparing and compiling presentation documents for meetings
    • Review and respond to emails for priority information and meeting requests as directed
    • Schedule touchbases and staff meetings with direct reports. Troubleshoot schedules as needed. Stay updated on executives’ priorities on a daily basis
    • Other Admin Support
    • Conducting delivery service items& marketing materials to Drs offices
    • Meeting with Service Contractors and guests at various addresses- AirBnB, Hill Country Gallery, and surrounding areas
    • Assists with technology requirements including video conferencing, PowerPoint presentations, and Excel reporting
    • Assist with HR duties including interviews and onboarding of employees as necessary
    • Work on various construction projects as needed

    QUALIFICATIONS:
    • Minimum of 3 years of experience as an Executive Assistant ( or Leadership Role in Marketing) providing support to multiple senior executives in a fast-paced, dynamic environment required
    • Excellent interpersonal and communication skills (written and verbal) across different functions
    • Ability to handle multiple tasks, projects, competing priorities and tight deadlines simultaneously, while maintaining quality and exhibiting excellent follow through
    • Strong adaptability, flexibility and resourcefulness
    • Ability to exercise independent judgment and make decisions
    • Ability to maintain a high level of professionalism and confidentiality
    • Experience with Microsoft Office Applications (Word, Excel, Outlook, PowerPoint, etc.)
    EDUCATION:
    • Bachelor's Degree and previous leadership experience preferred
